Job Description:

Please note this is a 6 month contract for a Maternity cover

In this demanding and varying role, you will be primarily responsible for first line administration support to the Milan Sales and Sales Leadership team. You will be required to support the business on general administration duties. The role will also involve a percentage of CRM database support, including data entry, data cleansing, and be a CRM admin to the sales and team.

Essential Duties and Responsibilities


• Provide a comprehensive, efficient, and effective administration support across the business.


• Help the Sales and Sales leadership team on large RFP's and tender bid processes to prepare the offers and gather all the required documentation including Security & Compliance, legal, financial data in collaboration with those departments.


• Help the Sales, Sales leadership and collection team with specific local billing related actions required for the invoices to be paid.


• Co-ordination of travel, bookings, purchases, events, diary management, couriers and mail outs and other regular requirements for the sales and remote marketing team delivering on timely deadlines.


• Develops system to ensure accurate posting of expense details for the Sales leader in Concur system on a weekly basis to ensure all expenses are logged in the system within 5 days of submission.


• Salesforce support for the local Sales team when required and also in conjunction with the remote Marketing team.


• Provide additional event management support for sales and marketing team including venue sourcing, registration and on occasion attending events to host and/or co-ordinate.


• To help source and manage branded items and gifts on behalf of the sales and marketing team.


• To create and manage inventory system and co-ordination of shipping items globally.


• Responsible for the end to end purchase order management of any costs through the purchasing card.


• Undertake various types of research for special project work as directed.


• Maintain a good working knowledge of the relevant sales and operations functions and priorities of the organization.


• Other duties as may be requested from time to time.

• 3+ years of experience of providing administration support.

• Demonstrate service orientation with a desire to exceed customer expectations.


• Experience of working on CRM systems highly desired.
