What We're Looking For
We are seeking an experienced Workplace Manager (official tile: AVP, Workplace Management, CRT Spain) to join our Barcelona office approx. 10 employees on a part-time basis. The ideal candidate will have 10+ years of experience in HR, operations, and finance, with specific knowledge of Spanish employment regulations and best practices. This role will be responsible for managing office operations and providing comprehensive HR support to ensure an excellent employee experience and smooth day-to-day functioning of our Barcelona location (approx. 10 employees).
Responsibilities:
HR/Employee Experience:
Coordinate team lunches and events
- Review and recommend employee benefits enhancements specific to the Spanish market
- Administer Coverflex and other employee benefit programs
- Address HR inquiries
- Lead recruitment efforts including job posting, candidate screening, and interview coordination
Stay informed on local HR regulations, ensure organizational compliance and implement best practices
Office Management/Operations:
Manage visits from regulators and ensure compliance with local regulations
- Oversee office amenities including food/drinks and maintaining a welcoming office environment
- Procure and manage office supplies and equipment
- Oversee lease management and serve as primary point of contact with property management
Act as authorized signatory on designated documents as required
Finances:
Track and manage budget
- Process employee reimbursements and manage travel arrangements
- Oversee petty cash and maintain accurate financial records
- Coordinate with HR, Finance, IT in the US re: financial policy adherence
Qualifications:
- 10+ years of experience in HR and workplace management roles
Fully bilingual in Spanish and English with proficiency in:
Conversational communication
- Professional business writing
Legal and HR terminology in both languages
Deep understanding of Spanish labor laws and HR best practices
- Experience with HR information systems and benefits administration
- Strong financial acumen with budget management experience
- Excellent communication and interpersonal skills
- Proven ability to handle confidential information with discretion
- Experience in a multinational environment is a plus
Hours and Location:
- Part-time position (~20 hours/week)
- Based in our Barcelona office as a hybrid role
