The position
We're looking for an engaging, proactive, and organised Office Manager to join our team at our headquarters in Barcelona. In this role, you'll keep our office running smoothly, support employees, and creating a positive, welcoming workplace where people enjoy coming to work.
This is an office-based role that requires full-time on-site presence at our Barcelona office.
You'll play a key role in office operations and improvement, employee experience, and health & safety, making a real impact on our culture and day-to-day efficiency.
This role is perfect for you if you love taking ownership, solving problems, and adding a personal touch to everything you do in a dynamic environment with an international workforce.
Key Responsibilities include:
Be the soul of the office and company
Welcome, support, and connect people every day, helping them feel comfortable and inspired.
Keep the office organised, functional, and enjoyable for everyone.
Contribute creative ideas to improve the office experience and company culture based on your 'thermometer' for people's needs and interests.
Office Operations & Company Events
Set up and manage our Barcelona space; furniture, coffee, utilities, plants… all the little things that make a difference
Handle deliveries, invoices, supplies, and provide general admin support.
Manage day-to-day office operations and vendor relationships, including negotiating contracts.
Organise team lunches, offsites, afterworks and events (Christmas Dinner, Ski Trip, Summer trip…) we love the energy and great vibe at Bax, and you will empower that
HR & Employee Support
Support employees proactively and upon request with their day-to-day needs.
Organise business trips for employees, including flights, accommodation, and other logistics. Sometimes including organising business or project events for our consultants and clients.
Prepare welcome packs and support onboarding for new employees.
Support HR with employee experience and other initiatives.
Collaboration & Company Support
Reporting to the HR and Operations Managers, you will work closely with them to address complex topics and continuously improve how we work.
Supporting company management and the CEO to ensure the business is well organised and running smoothly.
Organise and coordinate agendas for company meetings, especially for managers.
Collaborate with finance on employee-related expenses, supplier contracts, and other related matters.
Health & Safety
Implement and maintain workplace safety policies.
Coordinate mandatory training sessions for employees.
Organise mandatory health appointments and ensure compliance.

We are looking for someone reliable, approachable, and resourceful, a true 'office glue' who feels at home in a fast-paced environment and loves helping people succeed.
Experienc
e
: proven experience in office management, administration, or HR support.
Languages:
Fluent in English and Spanish is a must; proficiency in other languages is a plus
Skills:
excellent organisational, multitasking, and communication skills; proactive problem solver.
Soft Skill:
friendly, autonomous, and professional, able to interact comfortably with all levels of organisation.
