Who we are?

We are Scienseed, a communications, marketing, and advertising agency specializing in
scientific and technical communications
. We are becoming leaders in the field and have been continuously growing since our inception 10+ years ago.

We work on innovative projects with significant social impact, collaborating closely with major international organizations, foundations, research centers, the pharmaceutical industry, and small tech startups.

Currently, our team consists of 24 people, and we reached in 2022 a tipping point: a merger that has greatly strengthened us and opened up even greater growth potential than before.

Role Overview

We're looking for a Head of Operations to join our management team and work closely with the CEO. This person will take the lead in making sure everything runs smoothly — from how we organize projects and resources to how our teams work together every day.

Your mission will be to help our talented people do their best work by creating structure, clarity, and efficient processes. You'll turn our ideas and plans into reality through good organization, clear communication, and great teamwork.

As the company grows in the coming years, you'll also play a key role in recruiting new talent and scaling our teams, ensuring that our structure evolves sustainably as we take on new challenges and opportunities
.

What you'll do

  • Oversee the daily operations of the company and make sure our projects stay on track — on time, on budget, and up to our quality standards.
  • Coordinate with department heads to plan resources, workflows, and priorities.
  • Help design and improve internal processes so collaboration feels easy and natural across teams.
  • Supervise project management activities, ensuring clear communication and balanced workloads.
  • Support the CEO in strategic planning by providing reports and insights that guide decisions.
  • Work with our admin and finance teams to coordinate billing and grant reporting.
  • Spot opportunities to make things run better — whether it's simplifying a process, improving communication, or introducing a new tool.
  • Plan for growth by identifying hiring needs, supporting recruitment processes, and helping new team members integrate smoothly.

What we're looking for

  • Someone who loves structure but also people — an organized mind with a collaborative spirit.
  • At least 4–5 years of experience in operations or project management in a similar-sized company.
  • A degree in science, humanities, or business — there's no single right path; we value curiosity and versatility.
  • Fluency in English and Spanish. Other languages are always a plus.
  • Experience in recruiting, onboarding, and scaling teams.
  • Strong leadership and coordination skills: you know how to motivate teams and create a positive, high-performing work environment.
  • A hands-on attitude and the ability to keep calm when juggling multiple projects.
  • Experience with MS Office and Office 365, and a general ease with digital tools.
