The Role

Operations Assistant

Preferred Location:
Barcelona, Spain, but open to anywhere

We're looking for a highly organized and proactive
Operations Assistant
to help keep things running smoothly across teams. In this role, you'll work closely with our
CEO (based in Barcelona)
and
Head of Operations (remote)
to support day-to-day execution across departments — from calendar management and project coordination to order management and general operations.

This is a
hands-on, dynamic role
ideal for someone who thrives in a fast-moving environment, enjoys problem-solving, and can easily pivot between priorities. You'll play a key part in helping the company stay organized, efficient, and one step ahead.

What You'll Do

  • Manage calendars, travel arrangements, and meeting logistics for the CEO and leadership team.
  • Coordinate communications, follow-ups, and documentation across departments.
  • Support order management and issue resolution processes alongside the Operations team.
  • Assist in maintaining internal tools, systems, and workflows (e.g. Notion, Airtable, Google Workspace).
  • Track progress and ensure timely completion of ongoing projects and operational initiatives.
  • Prepare reports, conduct research, and maintain key operational records.
  • Provide ad-hoc support to departmental leads — from scheduling to coordination and light project assistance.
  • Handle confidential information with professionalism and discretion.
  • Jump in wherever needed to keep operations and leadership initiatives moving —
    no task too small
    .

What We're Looking For

  • 1–2 years of experience in an operations, assistant, or coordination role.
  • Background working in
    startups or fast-paced, high-growth environments
    .
  • Strong organizational and multitasking skills; comfortable managing competing priorities.
  • Knowledge in utilizing AI and automating workflows and processes preferred
  • Excellent communication skills and fluency in English (Spanish a plus).
  • Tech-savvy and comfortable with tools like
    Slack, Notion, Google Workspace, Airtable
    , and
    Teamtailor
    (or similar systems).
  • Self-starter who takes initiative, anticipates needs, and enjoys building structure where none exists.
  • Dependable, detail-oriented, and solution-driven.
  • Ideally located in
    Barcelona, Spain
    for in-person collaboration with our CEO, though open to nearby remote candidates.
