The Expansion function is here to support in adding meaningful growth. We are responsible, in partnership with our brands, for all aspects of creating and maintaining our real estate portfolio: we lease, design, draw, buy, build and maintain each store and constantly follow up on the existing portfolio to ensure high profitability. We add new stores and optimize the current portfolio through rebuilds, extensions, renegotiations, relocations, and consolidations.

Job Description

On this journey we´re all collaborating to create the best omni customer offer for our customers and as a Lease Administrator you will be a key player in making this happen. You are a part of the Regional Expansion team and work closely with the Regional Head of Expansion Controlling to ensure that our lease contracts are collated and processes in an organized and structured way and that our portfolio management is seamless. Together with the team in the region you will develop and streamline documentation best practice to ensure that data is correctly held, abstracted and presented. Key responsibilities include:

- Being responsible for the handling of lease documentation, including the signing process
- Maintaining the data integrity of all physical and electronic lease files
- Abstracting and providing data in a professional manner
- Develop and streamline documentation best practice
- Coaching, training the supporting the team in documentation way of working
- Internal and external transmittal of documents, reports and notices
- Data Audits on co-tenancy, key dates, rent terms etc
- Analyzing, researching and assisting in the resolution of Landlord and Tennant issues
- Process improvement when it comes to the way in which we handle our lease documentation
- Partnering with other teams within Expansion as well as other departments to verify lease information and provide support as required

Qualifications

We see that you are someone who works in a methodical, structured way and someone who has great attention to detail. You are organised, efficient and have great communication skills that enable you to work with senior stakeholders, both internally and externally. You effectively collaborate with groups of diverse people and you communicate clearly and openly. You are able to manage your workload, prioritise and juggle more than one ball at once

Besides your personality we see that you have:

- At least 2 years previous experience working with legal documentation and contract management
- Ability to understand and interpret commercial lease documents and to write routine reports and legal correspondence in a concise and effective manner
- A proven track record of working efficiently in an organized and structured way
- Experience in extracting and presenting data in a professional manner
- Strong time management skills with the ability to adapt and respond to changing conditions and deadlines
- Ability to manage a large lease database, including inputting, editing and verifying information
- Attention to detail and strong work ethic
- Ability to work effectively in a fast-paced work environment while managing various tasks at once
- Strong sense of customer service for internal and external clients
