We are revolutionizing the online ad-serving industry for advertisers, publishers, and networks alike, and we are looking to recruit an **Office Manager** for our **Barcelona office**.

**Your Role**

As Office Manager you will manage the day
- to
- day organization of the office, offering general support, coordinating a variety of initiatives and ensuring the office is always in perfect condition.

You also act as a first contact for visitors and callers to EXOGROUP, greeting them and taking care of their hospitality.

You are proactive, energetic, dynamic, independent, professional and able to multi-task in a fast-paced environment while keeping a very positive attitude. In addition, you must have superior people skills and discretion when dealing with highly confidential information.

**Responsibilities**
- Ensuring the smooth running of the office including ordering of office supplies, arranging maintenance of the office equipment, kitchen supplies, etc. Point of contact for landlord, security, building maintenance, cleaning company and other external services.
- Maintain the tidiness and cleanliness of the office during working hours.
- Reception duties include screening of phone calls and greeting visitors.
- Recording of all office supplies expenditure, submitting authorization requests to Management and Finance for any other expenditure necessary.
- Distributing mail and organizing courier service.
- Exceptionally, pick up or deliver supplies out of the office (for the office or concrete special events).
- Coordinate travel arrangements including flights, trains, accommodation for our employees.
- Assist with new hires (preparing welcome pack, desk, phone) and help with relocation arrangements when necessary.
- Ensuring health & safety procedures by working with health & safety external service and building security, including coordinating evacuation tests, medical check-ups and keeping the staff informed about security regulations.
- Organize office events including team building, Christmas party, lunches among others. Arranging Christmas gifts for employees and clients.
- Any other ad hoc duties that may be required.

**Requirements**:

- High level of Spanish and English.
- Team player, friendly, able to comfortably interact with management, colleagues, and external parties.
- Flexibility and ´problem-solving attitude´.
- Comfortable using Google Workspace and office equipment.
- Availability to work from the office from Monday to Friday during regular office hours.
- Proven experience as an Office Manager or similar role is a plus.
- Excellent organizational and time management skills
- Ability to multitask and prioritize tasks effectively
