**Event Planner**

**Purpose**

Reporting to Head of Iberia Event & Disclosure Management, the primary responsibility of this role is to professionally plan, coordinate and execute strategically relevant events while complying with internal compliance and legal requirements. Giving support to the department processes, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions in EDM projects. Oversee the implementation of new virtual tools and systems.

**Major tasks and responsibilities of position**
- Event planning
- Professionally plan and organize strategically relevant external and internal Bayer events, F2F, Hybrid or virtual mode, to strengthen the Bayer brand
- Provide event on site support where required or logístically needed
- Serve as key contact for internal customers so that they can focus on their core business activities
- Perform detailed planning and event schedules
- Organize briefings and follow up meetings with internal customers and external service providers
- Event creation and logistics
- Manage and document the overall event budget
- Manage attendee and travel matters
- Coordinate suppliers/agencies/co-partners
- Support the selection and the management of external service providers and other contractors
- Manage budget and final costs
- Conduct financial/compliance closing and reporting. Compliance reporting (e.g. resulting from CRYSTAL process) and ensure compliance with company policies and procedure in close interaction with local Compliance Officer
- Review performance and debrief with stakeholder/close event
- Compiling reports and preparing spreadsheets ensuring high-quality and provides cost information to different stakeholders.
- Provide new initiatives to improve EDM new processes, guidance, communications, virtual tools, etc.
- Lead specific EDM projects and activities and follow up the actions (KPI’s).
- Collaborate in cross functional projects as EDM representative.
- Guarantee expected level of quality and safeguard compliance in events with high complexity and sensitive content.
- Incident management with users and event management providers
- Conducting training for users of event management tools
- Create and update new guidance for EDM.
- Data analysis collected in the Events, ROI, to ensure the effectiveness of the events, in line with Global guidance.

**Qualifications (Education, skills, experiences)**
- Degree in Event Management, Business Administration, Marketing or an equivalent qualification
- Several years of experience in event management support & analyst in the life science industry, in the Pharmaceutical business will be an advantage
- Very good knowledge of national and/or international Pharma Codes
- Several years of experience in project management, must be able to manage third-party event agency and make recommendations concerning department procedures to ensure that work objectives and quality and compliance standards are met.

- Team

- Very good knowledge of Bayer and its brands and products
- Excellent verbal and written communication skills in English & Spanish & Portuguese.
