DescriptionThis role is crucial in supporting our Senior Director and ensuring the smooth daily running of the Duracell E&A Legal Department and GBS Barcelona Office. The successful candidate will have experience working as a Executive Assistant to a Director, a Legal Assistant to the Legal Department and the Office Manager to the Duracell GBS Barcelona Office. Good organization and communication skills are essential for this role, with the ability to work autonomously and as a part of a team. A positive proactive attitude is key, with both attention to detail and self-motivation and keeping confidentiality. ResponsibilitiesMain Duties & Responsibilities Executive Assistant: Coordinate and maintain the Director's calendar, scheduling meetings, appointments, and making travel arrangements to optimize time and efficiency. Draft, review, and send emails, letters, and other communications on behalf of the Director. Organize meetings, prepare agendas, take minutes, and follow up on action items. Monitor and reconcile expense reports for the Director and assist with budget management tasks. Handle sensitive information with discretion and uphold the highest level of confidentiality. Office Manager: Supervise all aspects of daily office functions, resolve operational issues promptly, and ensure efficient workflows. Manage staff calendars, arrange meetings, and end-to-end company events, including logistics and budgeting at both global and local levels. Monitor inventory and coordinate maintenance and repairs of office equipment to minimize disruptions. Manage distribution lists and communications. Oversee financial transactions and records, manage supplier relationships and contracts, and handle all aspects of purchase order administration. Support HR in processes such as visa applications and immigration procedures. Assist teams in other global areas including tax, IT, B2B, and marketing, when holding events in Duracell GBS Barcelona. Legal Assistant: Manage matter creation and cloning, coordinate review and approval routing, set up vendors, and oversee system administration and delegation tasks. Support compliance accrual processes and assist in maintaining adherence to legal and regulatory requirements. Assist the Legal Director for E&A in reviewing and processing legal invoices. Act as a liaison between the organization, external legal counsel, and internal teams, ensuring effective communication and timely resolution of legal matters. QualificationsProfessional Requirements Min. 2 years of Assistant/Office Management experience Experience in budget management for events/office supplies Experience in raising PO's and managing suppliers. Events management experience advantageous Good-Level in Microsoft Office, including outlook, Excel, PowerPoint Bachelor's degree in human resources, Business Administration or similar. Executive Assistant / HR certifications preferred. Legal knowledge (would be a plus) Professional English and Spanish #LI-Hybrid
