Role Description The GHS 2028 Event Production Senior Manager is an exciting position at The Wellbeing Project as we are preparing the third edition of the most impactful wellbeing event, the Global Hearth Summit, to be held in late spring 2028, most probably in Japan. This event will convene 1,000 global changemakers for a four‑day intersection of social impact, the arts and wellbeing. The manager will supervise and manage the production agency hired to support the election of the event, working closely with the Wellbeing Summit Lead and Director to organise the summit. They will hold a global view of the event, establish a general timeline, manage deadlines, assess priorities and anticipate risks. Collaboration and Team The manager reports to the Hearth Summit Director and is part of the core GHS team, alongside the Travel & Accommodation Senior Manager, the Community Engagement Senior Manager, and the GHS Manager. They will also support the GHS Curation teams (Conference Content Curation and Arts Curation) by collaborating on production aspects. They may advise TWP members on event production for internal community events at the same location before or after the summit. Key Responsibilities Lead coordination, management and implementation of the event, supervising the daily work with the production agency and other external providers. Create and update road maps and timelines; track progress and ensure timely execution. Track moving parts and dependencies while maintaining a big‑picture view to ensure all key actors work well together. Support the GHS Director with production budget coordination. Prepare briefing, research and select the production agency together with the GHS Director. Serve as primary point of contact with the production company or other vendors. Facilitate daily communication and work coordination between the GHS team and the production agency. Assist in communicating and coordinating work between GHS and TWP teams, including Curation, Fundraising and Communication. Coordinate internal communication between the GHS team and the broader TWP team. Participate in weekly project team calls, monthly GHS team calls, yearly retreats, and visit the host city in Asia as needed. Skills & Qualifications 5–7 years in a similar role in event management or production company, or in an organisation, association or foundation organising events. Experience planning, organising, coordinating and producing large‑scale in‑person events. Excellent written and spoken English (mandatory); French, Spanish and/or Japanese a plus. Proficient in Excel, Word, PPT and related time‑management tools. Well‑organised, structured, dependable and reliable. Detail‑oriented, thorough, and careful not to miss small pieces that can impact logistics. Proactive, doer, strong multitasking, entrepreneurial mindset. Strong decision‑making skills and ability to make quick judgments. Flexible and able to adapt to last‑minute changes or requirements. Enjoy problem‑solving and creativity. Comfortable working independently and as part of a larger team, self‑aware and effective team player. Aware and comfortable with cultural differences and a global perspective. Flexible with working hours across multiple time zones. People‑oriented, communicate with respect, clarity and sensitivity; express needs openly and authentically. University degree. Available to start March 1st 2026 at least 80 %; 100 % required 12 months before the event. Based in Europe or Middle East to maximise shared working hours with Asia.
