Client Service Manager – Valencia, Spain Location: Valencia (Spain) Department: Client Service Management Employment Type: Permanent Sector: Finance / Alternative Investment Fund Management Job Description FundRock LIS S.A. (part of Apex Group) is a successful third‑party AIFM headquartered in Luxembourg, delivering fund solutions to world‑renowned investment managers and fund initiators. We focus on private equity, real estate, infrastructure and debt asset classes, with more than 100 professionals and over 200 alternative investment funds on our platform. We are seeking a highly motivated, client‑focused Client Service Manager to support our Luxembourg alternative investment fund business from Valencia. Responsibilities Work proactively on a portfolio of clients to support daily activities of funds under management. Act as main point of contact for day‑to‑day operations and resolution of fund‑related queries. Set up and lead AIFM service review calls with clients to maintain strong relationships. Establish and maintain excellent relationships with fund delegates (portfolio managers, investment advisors, administrators, depositaries) and participate in service provider quality calls. Ensure compliance with internal and external processes. Maintain the fund corporate calendar and monitor compliance with deadlines according to internal procedures. Update internal client database (static and dynamic) by liaising with counterparties to verify and collect required information. Ensure all funds have up‑to‑date policies and procedures that reflect ongoing regulatory developments and other requirements as determined by Fund Boards, including the Operating Memorandum. Prepare the Operating Memorandum and coordinate its internal and external review. Liaise with internal teams to ensure compliance with procedures; populate checklists, AML forms, UBO forms, and other fund‑related reports; resolve missing information issues. Ensure all investor subscription documents, including side letters, are saved in the client folder. Manage the investor side letter matrix and resolve gaps or approaching deadlines. When Fund Rock LIS acts as corporate secretary, collect Board‑pack relevant reports from internal departments and lead through the Board Meeting agenda. Present the AIFM report at the Board Meeting. Coordinate and review fund financial reports and long‑form reports. Prepare reports for the Senior Management Committee (Conducting Officers), Board of Directors, and other stakeholders.
