**Job Summary:**

We are seeking an experienced HR Administrator to join our team in Madrid, Spain. As an HR Administrator, you will play a crucial role in supporting the HR team with various operational tasks, partnering with HRBP and HR Community within the entity and transversally in the HR function.

Key Responsibilities:

  • Support all levels of HR locally with various operational tasks, collaborating with HRBP and HR Community within the entity and transversally in the HR function.
  • Work closely with HRIS and HR Operations function to deliver a variety of administrative tasks, ensuring seamless execution and timely completion.
  • Coordinate local payroll activities between AXA XL, payroll provider, and HR teams, guaranteeing accurate and efficient processing.
  • Generate and execute all reports or queries, providing summaries of data for use in analysis or decision making.
  • Improve and maintain all HR perimeter reports, validating output against systems and adhering to established procedures.
  • Validate employee records or other related HR data, following established procedures for updating, validating, and correcting.
  • Prepare end-user documentation or training materials as needed, ensuring clarity and accessibility.
  • Manage all hiring and terminations processes, handling employee life cycle letters and maintaining up-to-date local HR processes.
  • Document, formalize, and maintain all local HR processes, supporting expatriate and international mobility management.
  • Manage Time Absence, Benefits (Insurances, Pension Plan, Shareplan, etc.), and oversee Compliance processes such as CBI and background checks.
  • Implement, develop, and follow up on HR policies: SmartWorking, ID, Equality Plan, Remuneration Register, etc.
  • Communicate data changes (cost centers, positions, managers changes), provide support, guidance, and expertise to resolve queries from employees and other stakeholders.
  • Liaise with finance for the booking of various payments, share Sick note, Maternity notes, and termination note for authority filing.
  • Process and distribute on and off-cycle information, coordinate payroll activities and stakeholders.
  • Application and interpretation of the collective bargaining agreement, labor regulations, and internal policies on labor relations, prepare reporting and data to be presented to unions.
  • Prepare all documents for individual agreements and settlements, support dialogue with Labor Counsel.

Requirements:

  • Several years of experience in HR administration or proven knowledge in HR Admin topics.
  • Native/fluent Spanish with a good knowledge of English, written and spoken.
  • Knowledge of any HR tool will be recommended (e.g., Oracle, SAP).
  • Proficiency level of Excel.
  • Good command of PPT.
  • Time management skills.
  • Team working.
  • Agility ability to learn.

Estimated Salary Range: €40,000 - €60,000 per annum, depending on experience and qualifications.
