Senior Administrative Coordinator

Yra Business Solutions is seeking a highly skilled and organized Executive Support Specialist to join our team. As an Executive Support Specialist, you will provide administrative support to our executives, ensuring seamless day-to-day operations and exceptional client experiences.
Key Responsibilities
• Calendar Management: Manage your schedule, including setting up appointments, meetings, and managing deadlines
• Email and Communication Management: Filter and organize emails, draft responses, and handle routine correspondence
• Document Preparation: Assist with legal and financial documents, review contracts, file reports, and keep client records organized
• Travel Coordination: Arrange travel plans, accommodations, itineraries, and meetings for professional engagements
• Client and Team Interaction: Handle client inquiries, act as a liaison between you and your clients, and ensure timely and appropriate responses
• Team Coordination: Support the coordination between our firm's partners, associates, and external parties to streamline project management
• Event Planning: Assist with the organization of professional events such as board meetings, client presentations, and conferences
• Legal and Financial Assistance: Conduct preliminary legal research, gather information as necessary, maintain an organized system for legal files, contracts, and financial records, prepare case summaries, financial reports, or presentation materials for meetings
• Personal Assistance: Manage personal errands, organize personal events, or handle family matters, assist in highly sensitive personal matters that require discretion, such as handling financial investments, bank accounts, and personal legal matters
• Project Management: Assist with delegating tasks to other members of the team or vendors, monitor the progress of ongoing projects, and ensure deadlines are met, send reminders and ensure action items are addressed
Requirements
• Proven experience as an executive assistant, personal assistant, or similar role, ideally in a law firm or corporate setting
• Familiarity with legal, accounting, or financial environments is highly beneficial
• Strong organizational and time management skills, excellent verbal and written communication skills, proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and legal/accounting software, discretion and confidentiality in handling sensitive information, high level of attention to detail, ability to multitask and prioritize tasks effectively
• Trustworthiness, loyalty, and professionalism, ability to work under pressure and meet deadlines, proactive approach to problem-solving, flexibility and adaptability to changing schedules or tasks, willingness to travel locally and internationally
