We are seeking a highly skilled and detail-oriented Tender Assistant & Operational Support Specialist to join our dynamic Spanish Operations team at Mindray Europe. As a key member of our team, you will play a pivotal role in supporting our Sales & Marketing team with full professional customer service and administrative support.
Key Responsibilities- Manage all public and private GPO tenders, ensuring timely and accurate submission.
- Develop and maintain processes and dashboards for AO activity, including tender processing, win/loss analysis, and loss analysis.
- Monitor and track the full activity lifecycle, from announcement to final invoicing.
- Coordinate with the sales, marketing, technical, and finance teams to ensure seamless communication and document consolidation.
- Review and verify tender questions and responses before submission.
- Upload tender documents to the platform or via express mail, as required.
- Assist in the analysis of statistical data for all current markets, providing quantitative and dynamic insights.
- Coordinate with marketing, technical, customer service, and finance departments to confirm sales data and pricing.
- Communicate with purchasing centers and hospitals/clinics to update data related to purchase orders.
- Prepare quarterly and yearly declarations of sales turnover for Mindray related to tenders.
- Realize local stock purchase orders, as needed.
- Oversee all aspects of the purchasing process, including vendor creation, reference management, purchasing, and supplier management.
- Support the operations department in other administrative tasks.
- Fluent in Spanish and English, both written and verbal.
- Public procurement background and experience.
- 3-5 years of significant experience in a similar position or equivalent.
- Knowledge of the medical field, particularly medical devices.
- Analytical and synthetic mind, with strong writing skills.
- Knowledge of monitoring tools, such as Acobur WeTender.
- Mastery of office automation tools, including Word, Excel, and PPT.
- Knowledge of ERP (SAP) and CRM environments is a plus.
- Great organizational skills, with a rigorous and responsible approach.
- Proactivity and autonomy, with a sense of relationship development with various stakeholders.
- Result-driven team player.
- Experience in managing calls for tenders in public procurement.
