Senior Operations Specialist for European Markets

We are seeking a highly skilled and experienced Senior Operations Specialist to join our team in Madrid, Spain. As a key member of our operations department, you will play a vital role in ensuring the smooth delivery of our services to our clients.
About the RoleThe successful candidate will be responsible for managing user system maintenance, setting up new access, and removing existing access within agreed service level agreements (SLAs). They will also be responsible for managing the system set-up of new products and associated policy documentation/invoice production within agreed SLAs and quality standards.
In addition, the Senior Operations Specialist will have ownership and maintenance responsibilities for relevant systems that the products are being managed on, including template management, product and code mappings, segment references, and linkage with relevant teams to ensure appropriate interfaces to back-end systems and processes.
Key Responsibilities:
- Manage user system maintenance within agreed SLAs, including the set-up of new access, amendments, and access removal.
- Manage the system set up of new products and associated policy documentation/invoice production within agreed SLAs and quality standards.
- Ownership and maintenance for relevant systems that the products are being managed on, including Template management, product and code mappings, segment references, and linkage with relevant teams to ensure appropriate interfaces to back-end systems and processes.
- Have an in-depth understanding of processes and adopt an ethos of continuous review with the intention of improving, error proofing, automating, simplifying, clarifying and eradicating any "non-value" process steps.
- Manage Broker Network set up and maintenance including Broker Novation's, granting new access, amendments and access removal, and providing Broker Assistance.
- Manage and respond within SLA to all general Broker correspondence received through local mailbox accounts.
- Manage the manual processing of any system fall-outs within SLA.
- Have an in-depth understanding of the system landscape; review and identify inconsistencies to maintain data quality.
- Keep current on all relevant product knowledge to SME products managed on Ignite/ICT and be a subject matter expert.
- Proactively gain and develop knowledge of all relevant lines of business to facilitate accurate processing for both retained and outsourced work elements.
- Review and monitor all outsourced work elements, identifying type and frequency of problems or inefficiencies, track root cause analysis of rework and make recommendations for continuous improvement.
- Production of relevant SOX reporting (including outsourced partners processed business) for Team Leader sign off.
- Undertake audits and Quality Control checking of outsourced and retained work elements to evidence the service being provided. Take personal responsibility for the Quality Control of own and outsourced work elements to ensure that the highest standards of delivery are achieved.
- Triage, investigate and resolve credit control queries within SLA.
