Job Summary
We are seeking an experienced Administrative Coordinator to join our team at Ornua Foods. The successful candidate will be responsible for managing the front desk area, serving as the first point of contact for visitors and callers, and providing administrative support to the HR department and others.
Key Responsibilities
- Greeting Visitors and Guests: Welcome and greet visitors in a professional and friendly manner, ensuring a positive and welcoming experience for all guests entering the premises.
- Answering and Directing Phone Calls: Manage incoming phone calls, screen and direct them to the appropriate individuals or departments, and take and relay messages accurately.
- Managing Front Desk Operations: Maintain a neat and organized front desk area, manage the distribution of mail and packages, and handle inquiries and provide information to visitors or callers.
- Appointment Scheduling: Schedule and confirm appointments for employees and visitors, and keep track of meeting room bookings.
- Administrative Support: Provide basic administrative support such as photocopying, faxing, and filing when required, and assist in the preparation of documents and reports as needed.
- Orders and Invoicing: Manage office supplies, Personal Protective Equipment, and production and cleaning supplies, and review working clothing invoices and invoices from Randstad and other vendors.
- Translation of Documents: Assist with the translation of documents as needed.
- Facilities and Expenses Support: Ensure the cleanliness of the facilities, manage travel expenses for MD Europe, NPD Director, and Operational directors, and handle payroll support and prepare monthly information for the vendor.
- HR Support and Training: Provide support for the internship program, coordinate trainings between managers and trainers, and assist with presentations and attendances in Alchemy and Fundae operations with vendor.
- General Support: Provide general support for the team, including new vendor process management and management of medical checks, and coordinate events such as Family Day and Christmas Dinner.
Requirements
Education and Experience
- High School Diploma or Equivalent.
- Any additional training on administration will be a plus.
- 3 years of experience in similar tasks.
Language Skills
High level of English, minimum C1 required.
