Job Summary

The Team Coordinator will provide proactive support to the Regional Director, Iberia & Italy, and category teams in managing contractual and team administrative needs aligned to Universal franchise, category, and consumer priorities.

Key Responsibilities
  • Data entry of Licensee deal memos across all categories into CRM/RSG system, tracking critical path from business-plan submission to contract execution, and managing contract workflow.
  • Manage administration requirements for establishing new licensee contracts, ensuring records are up-to-date for existing licensee partners, and communicating contractual obligations to relevant stakeholders as needed.
  • Lead new licensee onboarding, ensuring a seamless transition, and assist licensees with GBS and factory audit support, quarterly royalty report submissions, tracking, and outstanding invoices, as well as system support, such as media box.
  • Manage all asset management processes and NDA requests.
  • Create and set up new vendor accounts, raise purchase orders using SAP, code invoices for payment, and follow through to ensure timely payment and quarterly tracking and pacing of direct costs.
  • Assist in supporting quarterly forecast process to set deadlines.
  • Manage weekly team updates for senior management and ELT dashboard.
  • Maintain databases, spreadsheets, tracking documents, and distribute licensee lists, brand presentations, and other sales materials.
  • Proactively manage the Regional Director's diary and coordinate domestic and international travel plans.
  • Provide administrative support with monthly travel and expense reports for the commercial team.
  • Manage ad-hoc administrative duties to frequent deadlines.
Requirements
  • Excellent administration skills combined with the ability to balance and prioritize workload across teams and markets, including complex diary management, booking meetings, and travel.
  • Top-level organizational skills with the ability to work under pressure, with high attention to detail, and prioritize according to deadlines.
  • Proactive team player with strong communication skills at all levels.
  • Data entry experience and proven attention to detail essential to the role.
  • Confident to liaise with multiple departments internally as well as with external international partners.
  • Self-starter with the ability to work independently as well as collaboratively within a team.
  • Strong PC skills with intermediate to advanced knowledge of Word, Excel, and PowerPoint, and knowledge of Keynote and Mac.
