The Guest Services Coordinator will ensure an exceptional experience for all visitors, employees, and partners within our Management Offices. This role is integral to the hospitality team and requires close collaboration with various departments. The Coordinator is tasked with addressing employee requests and overseeing the daily operations of the Offices.

Working closely with the Office Manager, the Coordinator will play a key role in maintaining high service standards.

PRIMARY RESPONSIBILITIES:

Management of the Reception Area:

  • Adhere to established standards and protocols for communication with guests.
  • Ensure all inquiries from both internal staff and external partners are handled promptly and professionally.
  • Act as the primary point of contact for the Office Manager.
  • Lead and oversee the Reception area to ensure optimal performance and development.
  • Provide consistent service to guests via phone and in-person interactions.
  • Foster and maintain strong business relationships with guests, striving to exceed their expectations.

Administrative Coordination and Support:

  • Oversee the daily setup and shutdown of Reception systems and processes.
  • Implement the well-being program in alignment with the main Office strategy, from routine operations to special seasonal initiatives.
  • Manage Reception/Office Petty Cash.
  • Prepare reports as needed.

Additional Responsibilities:

  • Facilitate team meetings across Office Departments.
  • Provide support to Directors, including the Director of Hospitality and Guest Experience, on an as-needed basis.
  • Maintain communication channels primarily with HR, Operations, and Hospitality, as well as all office personnel on a daily basis.


Requirements:
  • Exceptional verbal, written, and interpersonal communication skills (Spanish & English).
  • Strong organizational abilities, critical thinking skills, and a solution-oriented mindset.

  • Demonstrates resilience, adaptability, and flexibility in a fast-paced environment.
  • Ability to meet tight deadlines while adhering to commercial budgets.
