The Guest Services Coordinator will ensure an exceptional experience for all visitors, staff, and brands within our Management Offices. As a vital member of the hospitality team, this role involves close collaboration with various departments to meet the needs of employees and guests alike.

In support of the Office Manager, the Coordinator will take charge of daily operations and employee requests.

PRIMARY RESPONSIBILITIES:

Management of the Reception Area:

  • Adhere to established standards and protocols for communication and interaction with guests.
  • Efficiently address all inquiries from both internal staff and external brands, ensuring a high level of service.
  • Act as the primary point of contact for the Office Manager regarding the Reception area.
  • Lead and oversee the Reception team to ensure optimal performance and development.
  • Provide consistent service to guests, whether in person or via telephone.
  • Foster and maintain strong business relationships with guests, striving to exceed their expectations at every opportunity.

Administrative Coordination and Support:

  • Oversee the daily setup and closing procedures for Reception systems and operations.
  • Implement the Gravity Point and wellbeing initiatives in alignment with the Office's strategic goals, from routine activities to seasonal offerings.
  • Manage Reception and Office Petty Cash.
  • Prepare and submit reports as required.

Additional Responsibilities:

  • Facilitate team meetings across Office Departments.
  • Provide support to Directors, including the Director of Hospitality and Guest Experience, on an as-needed basis.
  • Maintain open communication channels with HR, Operations, Hospitality, and all office personnel on a daily basis.


Requirements:
  • Exceptional verbal, written, and interpersonal communication skills in both Spanish and English.
  • Strong organizational abilities, critical thinking skills, and a solution-oriented mindset.
  • A passion for service excellence and a motivation to deliver outstanding guest experiences.
  • Demonstrated resilience, adaptability, and drive in a fast-paced and dynamic environment.
  • Ability to meet tight deadlines while adhering to commercial budgets.

  • Detail-oriented with a strong focus on accuracy.
