About the Role

We are seeking an experienced Administrative Coordinator to join our Clinical Monitoring department at Empresa Reconocida. As an Administrative Coordinator, you will play a critical role in supporting the day-to-day operations of the department, ensuring seamless communication and collaboration with cross-functional teams.

Key Responsibilities
  • Provide administrative support to the Clinical Monitoring department, including meeting planning, agenda creation, and minute-taking.
  • Assist with planning and administration of new employee orientation, training, and mentoring programs.
  • Identify, develop, and schedule non-project-related training for Clinical Monitoring staff.
  • Track and maintain resource allocation for Clinical Monitoring staff to ensure sponsor needs are met.
  • Collaborate with the Training and Development department to maintain accurate training documentation for the Clinical Monitoring department.
  • Complete administrative deliverables related to expense reports within given timelines.
  • Assist in completing expense reports for Clinical Monitoring staff.
  • Support the administrative aspects of on-boarding, maintenance, and off-boarding of consultant/freelance CRAs.
Requirements
  • Effective communication skills, both verbal and written.
  • Ability to multitask, track, and maintain organization in a fast-paced environment.
  • Good judgment when making decisions.
  • High level of customer service.
  • Ability to build strong relationships with employees to foster open communication.
  • Confidentiality when dealing with proprietary information and sensitive situations.
  • Proficient in Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to learn quickly and adapt to new systems and technologies.
  • High School degree, Associate's degree, or Bachelor's degree in an allied health field or equivalent experience.
  • 2 years of administrative and organizational experience.
  • Fluent in English.
  • 2 years of experience working with a pharmaceutical company or clinical research organization (CRO).
  • Experience with Concur expense reporting system.
