Job Summary:

The Project Documentation Specialist will play a crucial role in ensuring the proper archive, compilation, and delivery of project documentation to meet contractual requirements and payment milestones. This position requires strong organizational and communication skills to coordinate with external documentation suppliers, manage project budgets, and maintain close contact with customers.

Key Responsibilities:

  1. Collaborate with external documentation suppliers to define their scope of work and ensure timely delivery of documents.
  2. Monitor and control project budgets related to customer documentation supply.
  3. Oversee the compilation of project documentation at each stage, ensuring compliance with contractual milestones, internal processes, and handover requirements.
  4. Maintain regular communication with customers to ensure accurate delivery of documents as per the agreed terms and conditions.
  5. Work closely with the CPM to ensure timely provision of documentation linked to payment milestones in the correct format.

Requirements:

  1. University degree in a relevant field.
  2. Experience in quality-related fields, with a strong understanding of documentation management.
  3. Excellent English language skills.
  4. Leadership skills and ability to build a high-performing team.
  5. Strong time and cost management skills, with a focus on efficiency and cost savings.
  6. Excellent interpersonal and teamwork skills.
  7. Strong planning and organizational skills, with a high level of commitment and proactivity.
  8. Ability to work effectively in diverse business cultures.
  9. Proficiency in MS Office basic programs (Word, Excel, Outlook, PowerPoint) and SAP.
  10. Willingness to continuously develop knowledge and skills, particularly in emerging technologies.
