El especialista en operaciones será la persona de referencia en todo lo relacionado con la administración para garantizar el buen funcionamiento del Centro de Experiencias, así como para apoyar eventos y otros proyectos según sea necesario.Proporcionar apoyo operativo y administrativo diario al director nacional y al equipo directivo, incluida la gestión de la agenda y la programación de reuniones.Planificar y reservar los viajes de los altos directivos y completar sus informes de gastos mensuales.Ayudar a los directivos cuando viajen al Centro de Experiencias y necesiten citas puntuales.Preparar presentaciones y paquetes informativos para eventos y reuniones importantes.Ayudar y participar activamente en la planificación, ejecución, activación, coordinación y apoyo logístico de los eventos de la empresa y las actividades del equipo.Trabajar junto con los equipos de ventas, marketing y formación para desarrollar formatos de eventos creativos, agendas, listas de ponentes, listas de invitados y materiales para los eventos.Servir de enlace con los proveedores, expositores y partes interesadas durante el proceso de planificación del evento para garantizar que todo esté en orden.Evaluar el éxito general de un evento y presentar las conclusiones.Encontrar los proveedores adecuados y gestionarlos en función de la calidad, el coste y el servicio.Mantener un registro del inventario y los suministros internos y gestionar cualquier tarea relacionada con el edificio.Coordinar y ejecutar las actividades de salud y seguridad en el país, de acuerdo con el plan de salud y seguridad.Garantizar el buen funcionamiento general del Experience Center, incluida la gestión de existencias.Coordinar las actividades de mantenimiento de las instalaciones según sea necesario (trabajar con proveedores de electricidad, agua, seguridad, empresas de limpieza y otros servicios necesarios según el país).Apoyar al equipo de TI cuando sea necesario (sistema de tarjetas, asistencia con las entregas o la recogida de equipos, etc.).Ser los ojos y los oídos del director nacional en la oficina, estar al tanto del estado de ánimo del equipo para ayudar al director nacional a resolver los problemas rápidamente.Formación, titulaciones, conocimientos, habilidades y experienciaSe requiere al menos 3 años de experiencia similar; se valora título universitario.Planificador altamente organizado y estructurado con experiencia en funciones administrativas o de eventos en apoyo a directivos ejecutivos.Capacidad para trabajar bien en un entorno dinámico y orientado al trabajo en equipo que requiere un alto grado de multitarea, trabajo en equipo y adaptabilidad; horario flexible cuando sea necesario.Capacidad para realizar trabajos de proyecto y tareas de investigación cuando se le solicite.Excelentes habilidades organizativas, capacidad de anticipación y atención al detalle.Sólida ética de trabajo y capacidad para mantener un alto nivel de profesionalidad y confidencialidad.Excelentes habilidades en Microsoft Office Suite y en la creación de presentaciones de gran calidad.Se requieren sólidas habilidades interpersonales y fluidez en inglés y en el idioma local; se valorará el conocimiento de otros idiomas.This position will use their organizational and admin savvy skillset to support the Country Manager and any leaders travelling to the Experience Centre. The Ops Specialist will be the go-to person on all things admin to ensure smooth operations of the Experience Centre as well as supporting events and other projects as needed.Provide daily operational & administrative support to Country Manager and leadership team including diary management / scheduling of meetings.Plan and book travel for Senior Leaders and Completion of their monthly expense reports.Assist Leaders when travelling to the Experience Centre and needing ad hoc appointments.Prepare presentations and briefing packs for key events & meetings.Assist and actively participate in the planning, execution, activations, coordination & logistical support of company events/team activities.Work alongside the sales, marketing & training teams to develop creative event formats, agendas, speaker lists, invitee lists, and event materials.Liaise with vendors, exhibitors, and stakeholders during the event planning process to ensure everything is in order.Assess an event’s overall success and submit findings.Find the appropriate vendors and manage them based on quality / cost / service.Maintain a log of in-house inventory/supplies and manage any building-related tasks.Coordinate and executive Health & Safety activities in the country, as per H&S plan.Ensure that general Experience Center operations run smoothly, including stock management.Coordinate the maintenance activities of the facility as required (work with suppliers like electricity, water, security, cleaning company & other required services per country)Support IT team when needed (card system, assisting with deliveries or equipment collection etc.…)Be eyes and ears of the Country Manager in the office – close to the mood of the team to help CM resolve issues quickly.Education, Qualifications, Knowledge, Skills and ExperienceAt least 3 years of similar experience required; BA degree desired.Highly organized and structured planner with experience in an admin or event role supporting executive leaders.Ability to work well in a fast-paced, team-oriented setting that requires a high degree of multi-tasking, teamwork and adaptability; flexible hours when required.Able to undertake project work and research tasks when requested.Exceptional organizational skills, anticipation, and attention to detail.Strong work ethic and the ability to maintain a high level of professionalism and confidentiality.Excellent skills in Microsoft Office Suite and building great presentations.Equal Opportunity Employer StatementHydrafacial is proud to be an equal opportunity employer.
