Intern Office Manager Madrid

The Office Manager is our first point of contact for all visitors in our Madrid office. Our culture and values are what make us special.
You’ll work proactively and be guided by the POPs Manager, knowing how to prioritise tasks, be able to multitask easily, and have the patience of a saint - you’ll need all of these to keep the office running at the high standard our team is used to.
Reporting and guided by our local People Operations Manager, you will be the master of all things office-related with the opportunity to support and grow in people operations. This is a dynamic role with the opportunity to shape it into your own.
You will be responsible for:
- Be the face of Treatwell in Madrid, greeting visitors, offering refreshments, and maintaining the presentation of the reception area and wider office.
- Point person: For all workplace-related queries including maintenance, post, supplies, stationery, and equipment, liaising with the landlord, cleaners, and suppliers & managing incoming invoices. Including queries from our team on these.
- Responsible for keeping the kitchen stocked with groceries, supplies, and COFFEE COFFEE COFFEE
- Support the People Operations Manager Spain with the Health and Safety within the office, ensuring all H&S is taken care of and there is appropriate fire marshall, health and safety officers trained on each floor
- Review and organise the workplace layout and constantly seek out ways to improve the space and environment for Treatwellers.
- Ensuring supplies required are in stock, holidays are covered and invoices are paid
- Maintain the office conditions and arrange necessary repairs contacting suppliers when needed.
- Overseeing incoming/outgoing mail, couriers, and shipping needs
- Partner with the rest of the People team in Spain to update and maintain office policies as necessary.
- Organise celebrations and events for the team locally.
- Collaborate with the Barcelona Office Manager to align processes within the country.
**Requirements**:
About you:
- Experience as an Office Manager, Front Office Manager, or Administrative Assistant
- Excellent time management skills and natural ability to multitask
- Problem-solving - the ability to identify the cause of issues, critically consider, and offer a range of potential solutions.
- Ability to stay calm in stressful situations
- Reactive to the needs of our office and people
- Proven execution of projects
- Fluent or native English and Spanish.
- Excellent written and verbal communication skills with strong attention to detail
- Strong organisational and planning skills in a fast-paced environment
- Patience and intuitive skills are also a key parts of this role, each day is different and it’s important to be able to adapt
- A creative and enthusiastic mind with an ability to suggest improvements
- Warm, friendly, and able to get along with a variety of personalities
- A proactive, helpful attitude and the ability to be flexible in various situations
