To manage the day-to-day bookkeeping and finance functions for the Spanish office. To ensure accounting records are up to date, balanced and accurate. To provide financial information on a daily and monthly basis to managers and the Group finance team based in the UK. To work closely with and support the sales and service staff, and other branches as required. To cover the role of the company administrator during vacations. The role reports to the Finance Manager for Southern Europe, based in the U.K.
- General book-keeping including:
- Bank account entry and reconciliation
- Issuing invoices for machines, spare parts, rental and servicing charges.
- Tracking of machine costs.
- Tracking and invoicing machine maintenance contracts
- Accounts payable - invoice posting, checking, payment of invoices, account reconciliation
- Accounts receivable - debt management, posting of invoices and receipts, account reconciliation
- Bank and cash account entries and reconciliation
- Calculation and posting of accruals and prepayments
- Provision on month end information to UK Group finance
- Customs entries and processing
- VAT calculation, reconciliation, processing and payment according to local requirements
- Creation of Intrastat forms and provision of other government data
- Provision of salary information to payroll company and payment
- Payment and reconciliation of payroll and other business taxes
- Fixed asset ledger maintenance
- Stock control, calculation, posting stock entries and reconciliation
- Assisting auditors with end of year accounts work
- General finance duties as required
- TAX/VAT AUTHORITIES
- Liaise with tax advisors, insurers, financial authorities, lawyers, bank etc.

ADMINISTRATION
Cover for company administrator for sickness and holidays
- Customer Support
- Order entry: providing quotations and pricing, taking orders from customers
- Creation of shipping documents, liaison with warehouse
- Organising couriers and transport, prioritisation of urgent shipments
- Preparation of invoices
- Stock Administration
- Allocation of parts deliveries onto stock
- Organising the importation of machines
- Service and Sales Support
- Assisting service team with parts orders, reports and invoicing
- Assisting sales team with administration work where required
- Organising delivery and documentation for loan parts and machines
20 hours per week|Permanent contract
The person required is an experienced office bookkeeper or accountant who enjoys working in a small team and can demonstrate a 'hands on' approach to work. They must be computer literate, able to use accounting software and be familiar with Microsoft Excel and Microsoft Word. They need to demonstrate good interpersonal skills and the ability to work independently and be fluent in written and spoken English.
