**Your mission**:
The Senior Workplace Coordinator will be seeking to improve existing systems and processes to ensure a smooth running and efficient office environment. Delivering a positive workplace experience for the staff and visitors. Assists the Workplace team with the daily operation as well as the facilities within the office, health and safety, general maintenance, administrative procedures to deliver and maintain a functional and safe work environment.

Effective communication and organisational skills are crucial for this role, as the Senior Workplace Coordinator plays a key role in maintaining a positive and well-functioning work environment with high level of organisational effectiveness.

**What you'll do**:

- Main point of contact at front of house reception where all stakeholders will be greeted and assisted in a courteous and professional manner.
- Assist with on-boarding new hires - desk allocation, new starter welcome pack, access card and office tour.
- Take ownership of operating office administrative procedures including meeting room management, visitor process, access cards, catering requests, office and kitchen supplies.
- Coaching new Workplace Coordinators with internal systems, procedures and alignments across the offices
- Oversee the daily operation of the facilities within the office including building security, maintenance, cleaning and postal services as some examples
- Undertake regular office inspections and take proactive action on any issues that may arise communicating with building management company on maintenance and upkeep issues;
- Encourage and communicate expectations around health and safety and office cleanliness
- “clear desk policy”; plan regular office tidy-ups, keeping the fire escape routes clear, and kitchen cleanliness
- Collaborate with the different workplace teams in the organisation to standardize common processes and align the employee experience
- Responsible for mail duties, including distributing post/packages to staff, sending mail, booking local couriers, and international.
- Oversee & organise company events and workshops i.e. Christmas party, summer party, charity events and Learning Labs
- Collaborate regularly with other functional departments such as; Desktop Support, Procurement, Finance, Marketing and People team to ensure office alignment.
- Raise purchase orders and follow internal approval processes for payment collaborating with Finance on Debit card payments and Corporate Credit Card.
- Ensure compliance with government regulations and industry standards for environment & health and safety regulations.
- Assist with fire evacuation process - Fire Marshal and First Aid
- Thrive in making the office a safe, pleasant and inspiring place to work.
- Periodic assistance in the carrying out of Health & Safety checks and Workstation Assessments.
- Placing call outs and escorting/working with contractors for office repair & refurbishment items.
- Maintaining security passes for access control

**What you'll bring**:

- Extensive experience in office and facilities management or similar roles with at least 3+ years
- Professional with a friendly and positive disposition

- Strong written and verbal communication English
- Strong understanding of business processes, operations, and organizational systems and structures
- Flexible, driven, team-oriented and willing to take the lead to ensure successful completion of projects and tasks
- Strong organisational skills with ability to work under pressure, handle multiple tasks, and meet tight deadlines
- This is a 100% office based position.
