Customer Service Analyst in Barcelona

We are looking for a dedicated and detail-oriented Customer Service representative to join our country business unit's customer service organization.
RESPONSIBILITIES
As our Costumer Service Analyst you are responsible for managing costumer inquiries, processing orders and providing administrative support to ensure efficient and effective customer service operations.
Your main focus :
Customer Interaction:
Handle sales and customer inquiries via phone, email, and in-person with professionalism and courtesy. Provide accurate information regarding products and order status. Resolve customer issues and complaints promptly and efficiently, escalating complex cases to the Customer Service Manager as needed. Order Processing:
Process customer orders accurately and in a timely manner. Verify / enter order details into the system, ensuring all information is correct. Manage incidences in the order reception (EDI) OR in the invoice transmission. Manage with customer the follow up of deliveries and communicate proactively any change in delivery date and or any miss in fill rate. Manage any delivery incidence that requires coordination with customer Manage communication of calendar Coordinate with credit management, planning, warehouse and logistics teams to ensure timely delivery of orders. Work closely with the Logistic and transportation teams and participate in DDS calls. Rejection and returns management Administrative Support:
Maintain customer records/fact sheet and update account information as needed. Follow up on RC and evolution on Invoice accuracy: price, quantity, refusals. Monthly analysis, RCA and AP of qty and quality related claims. with Logistics and the transportation team. Prepare/ distribute/ provide support on building customer service reports and documentation. Maintain organized and efficient filing systems for customer documents. Custodian of Service Catalogue. Analyze in a monthly basis the deviations. Communicate to customer in a monthly basis and define AP to avoid further service cuts. Customer Follow-Up:
Conduct follow-up calls and emails to ensure customer satisfaction and resolve any outstanding issues. Monitor order progress and communicate any delays or changes to customers proactively. Collaboration and Teamwork:
Work closely with other departments, including Sales, Marketing, Planning, Logistics, and Finance, to ensure seamless customer service operations. Participate in team meetings and contribute to continuous improvement initiatives. Data Management:
Generate and analyze customer service data to identify trends and areas for improvement. Audit support:
Ensure no blocked invoices at month end. Ensure requested delivery date is met for revenue recognition purposes. The team consists of Supply Chain professionals, Marketplanners, Costumer service representatives and Master data analysts. You will work closely together with several departments such as Logistics, Transportation, Sales and Marketing.
Global Supply is a multidiscipline function that makes the right product available at the right time, at the right cost and in the right quality. The Supply function is an umbrella for all activities across planning, making and delivering of the products and has a special focus on the Market facing through the Market Supply function.
YOU ARE A COTY FIT
You like to speak and assist people. As an experienced Costumer Service Analyst, you have 1-2 years of experience in customer service field or in admin role. and you get energy from working in a fast-paced, diverse and international environment. Other than that, you:
Strong organizational skills and attention to detail. Advanced user of Microsoft Office (Word, Excel, Outlook). Proficient in Office package, especially in Excel. Familiar with SAP. Ability to handle multiple tasks simultaneously and work effectively in a fast-paced environment. Strong problem-solving skills and a customer-focused attitude. Excellent verbal and written communication skills in Spanish. Proficiency in an additional foreign language (English, French, German, Italian, Dutch). OUR BENEFITS
