Responsibilities

Office Management

  • Ensure that the Barcelona office is a welcoming, safe, and clean environment for employees and customers.
  • Direct day to day office services, such as maintenance, repair, mail.
  • Maintain inventory of healthy snacks, drinks, and office supplies as needed.
  • Execute any operational business tasks as required.
  • Provide support to the General Manager of Spain for any office related initiatives.

Human Resources
Recruiting and Hiring

  • Maintain new hire job postings and correspondence.
  • Maintain ATS data and reports.
  • Review and screen resumes.
  • Conduct prescreen interviews.
  • Schedule interviews.
Onboarding and Offboarding

  • Manage onboarding procedures for the Barcelona team including background checks, internal onboarding documents and work authorizations.
  • Lead employee onboarding sessions to orient new employees to HR policies and processes.
  • Coordinate resources with other departments including IT and Center of Excellence to ensure employee has needed equipment, tools, and training schedule.
  • Facilitate offboarding procedures including coordinating equipment return, benefit terminations and scheduling exit interviews.
Employee File and Benefit Administration

  • Responsible for maintaining employee documents and other sensitive and confidential employee related information with a high level of integrity.
  • Update employee changes in HRIS as needed.
  • Manage administration of performance review process.
  • Perform regular audit of employee files and benefit enrollments.
  • Provide first line of support for all internal and external people related questions. Ensure employee inquiries are answered or promptly routed in a timely manner.
Employee Engagement and Appreciation

  • Coordinate charitable giving initiatives including employee charitable contribution match.
  • Plan and execute internal and external events, such as company meetings, monthly wellness initiatives, employee celebrations, and annual holiday party.
  • Organize meals for employees and treats for celebrations; ensure quality, quantity, timely delivery and understand any dietary restrictions; organize meals for meetings with customers, board, etc.
  • Assist with employer branding to establish Baxter Planning as an employer of choice including social media campaigns.

Requirements:

  • Bachelor's degree preferred, or equivalent experience.
  • Fluent in English
  • 1 year of fulltime experience as an HR Coordinator, Office Manager, or similar position.
  • Advanced Microsoft Office skills.
  • Strong organizational and problemsolving skills required.
  • Ability to handle multiple projects independently and uphold confidential information.
  • Strong sense of ownership and attention to detail.
  • Able to work both in a team environment and alone with mínimal direction and supervision.
  • Good interpersonal, written, and oral communication skills.
  • Friendly and professional demeanor.
  • Willing to expand role as needed.
