Qualifications

Good communication (oral and written) skills in both English and Spanish (essential)
Minimum of 3 years of administrative experience (essential)
Experience preferably in a maintenance / engineering environment, logistics or similar (desirable)
Familiarity with maintenance software is a plus.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong multitasking skills.
Ability to work independently and as part of a team.

Responsibilities:

Key Responsibilities

Administrative Support_
Manage daily office operations, data collection, internal communication with the team and external communication with suppliers and maintaining filing systems.
Prepare and distribute memos, reports, and other documents as needed.
Schedule and coordinate meetings, appointments, and travel.
Data Management_
Maintain accurate records of maintenance CMMS and other related records of the department.
Update and manage databases, ensuring data integrity and accessibility.
Communication_
Serve as a point of contact for internal and external inquiries related to the Maintenance and Engineering Department.
Facilitate communication between team members and other departments
Financial Administration_
Work together with EMMs to ensure the information shared with the group is the updated one.
Inventory Management_
Ensure with EMMs that the database is always up to date.
