Could you be the full-time Multi Projects Administrative Assistant in Santa Perpetua de Mogoda (Barcelona) we’re looking for?

Your future role

Take on a new challenge and apply your administrative expertise in a new cutting-edge field. You’ll report to work alongside young and proactive teammates.

You'll work in the administration and coordination of all activities of the bid & project management department. Day-to-day, you’ll work closely with teams across the business, support the management team and execute administrative tasks with competent, dynamic and friendly skills and much more.

You’ll specifically take care of Administrating queries of the complete department in the various systems, such as direct and indirect purchases, team and time management, but also producing, consolidating and distributing reports, Minutes of Meeting and presentations within the department, on complete site and within Alstom.

We’ll look to you for:

  • Maintain professional agenda of the team and projects, arrange meetings and appointments and provide reminders.
  • Maintaining efficient documentation and filing system related to governance process.
  • Leading logistics organization for external visits, workshops and similar.

  • 5+ years’ related to a senior or executive administrative assistant or in other secretarial position.
  • Bachelor’s preferred.
  • Proficiency in MS Office with expertise in Word, PowerPoint and Excel.
  • Confirmed experience in verbal and written business correspondence in both Spanish and English.
  • Full comprehension of office management systems and procedures.
  • Knowledge of Finance and/or HR is a plus.
  • Proactive and efficient with subject to pressing issues and challenges.
  • Ability to take Minutes of Meeting and consolidate in Senior Management Meetings.
  • Ability to multitask, autonomous way of working and prioritize daily workload.
  • Discretion and Confidentiality.
  • Problem solving, critical thinking and communication skills.
  • Planning and time management skills.
