Job Purpose

We are seeking a proactive and highly organized Office Manager to support the smooth day-to-day operations of Methinks AI. This role is key to ensuring efficient administrative processes, effective office management, and reliable support across finance, HR and operations. 

The ideal candidate is hands-on, detail-oriented, and comfortable working in a fast-paced startup environment, combining administrative with basic finance and executive support. 

Duties and responsibilities

  • Manage day-to-day office operations, including suppliers, facilities, and general administration
  • Support basic finance and accounting tasks such as invoice processing, expense tracking, and coordination with external accountants
  • Assist with budget tracking, reporting, and internal documentation
  • Coordinate HR and onboarding processes and support internal communications
  • Provide administrative and executive support, including calendar management, travel arrangements, and documentation
  • Organize team culture initiatives, events, and internal logistics
  • Provide support for social media, marketing, and communications content coordination
  • Maintain organized records, contracts, and operational documentation

Competences

  • 3+ years of experience in office management, administration, or similar support roles
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • High attention to detail and ability to handle confidential information
  • Solid working knowledge of office tools (Microsoft Office)
  • Fluency in English; Spanish proficiency is a plus

Desirable skills

  • Basic knowledge of finance, accounting, or bookkeeping
  • Basic knowledge of or interest in social media or marketing management
  • Experience working in startups or scale-ups
  • Ability to work autonomously in a dynamic, fast-changing environment
  • Interest in health tech or AI-driven companies
