Position Summary
Vanzbon Group is looking for a
Country Representative & Local Operations Specialist
to support client delivery and local coordination in Spain.
This is a
hands-on role
combining local representation with day-to-day operational execution: supporting company setup, coordinating with authorities and service providers, and acting as the primary local contact for our regional and HQ teams.
The role is ideal for professionals with practical experience in corporate services, legal/admin, or accounting/tax environments in Spain, who are comfortable working in both
Spanish and English
.
Key Responsibilities
- Act as the primary local contact for Spain-related projects, representing Vanzbon in interactions with clients, advisors, and service partners when needed.
- Support company incorporation and amendments with the
Registro Mercantil
and other relevant registries. - Coordinate with the
Agencia Tributaria
for
NIF/CIF, tax registrations, and basic VAT (IVA) or corporate tax-related procedures
. - Assist with documentation and processes for municipal or regional business licences and operational permits where required.
- Liaise with notaries, banks, and other intermediaries to support account opening, document notarisation, apostille, and related formalities.
- Prepare, organise, and submit application files; monitor deadlines and follow up on pending cases with authorities and service centres.
- Clarify procedural steps, required documentation, and applicable fees with government offices and public portals.
- Maintain structured digital records of applications, approvals, contracts, and correspondence.
- Join regular coordination calls with regional/HQ teams in
English
, providing status updates, explaining local processes, and flagging potential issues. - Summarise regulatory or procedural insights into brief internal notes, checklists, or SOP drafts for future projects in Spain.
Qualifications
- Bachelor's degree in Business, Law, Accounting, Public Administration, International Relations, or a related field.
- Around
2–4 years of relevant experience
in corporate administration, professional services, legal/admin, accounting firms, or similar roles in Spain. - Familiarity with
company registration, NIF/CIF processes, basic tax/VAT procedures, and municipal licensing
is highly valued. - Experience interacting with authorities such as
Registro Mercantil, Agencia Tributaria, town halls, or regional agencies
is an advantage. - High working proficiency in both Spanish and English
(spoken and written): able to join meetings and prepare written updates in English. - Strong coordination, follow-up, and documentation skills.
- Legally eligible to work in Spain.

- Hands-on, execution-focused work style; willing to contact and visit offices to clarify procedures when necessary.
- Strong sense of ownership and responsibility in managing tasks, timelines, and expectations.
- Ability to manage multiple files and stakeholders in parallel while keeping documentation accurate and organised.
- Clear, concise written communication and confidence using online government portals and office productivity tools.
- Professional, discreet, and service-minded when dealing with clients and internal teams.
