Export Back Office Specialist

., a leading company in the luxury candle and fragrance sector, is seeking an Export Back Office Specialist to join its commercial team.
The selected candidate will provide operational support in managing the full order cycle, contributing to customer satisfaction and the strengthening of commercial relationships across international markets.
Main Responsibilities:
• Preparation and dispatch of sales quotations and order confirmations.
• Monitoring order progress and coordinating with the Production, Logistics, and Purchasing departments.
• Managing international shipments (EU and non-EU), including customs procedures and logistics documentation.
• Issuing sales invoices for international clients.
• Providing after-sales support and handling communications with distributors and partners worldwide.
• Updating and maintaining customer databases and assisting the export Director
• Attending and supporting international trade fairs (e.g., Maison & Objet, Pitti Fragranze), with availability for occasional travel.
Requirements:
• Preferred age range: 20 – 40 years old.
• Minimum experience: At least 2/3 years in a similar position (Export, Customer Service, or Sales Back Office) within an industrial or international environment.
• Languages:
o English: B2 level ,fluent (mandatory).
o Knowledge of French, Italian, or German will be considered a strong advantage.
• Technical skills:
o Excellent command of Microsoft Office (Excel, Word, Outlook).
o Experience with ERP systems (preferably Sage).
• Personal skills:
o High attention to detail and organizational precision.
o Strong problem-solving skills and ability to manage priorities autonomously.
o Customer-oriented mindset with excellent interpersonal and communication skills.
o Willingness to travel internationally for trade fairs .
