The Role
We are currently seeking a highly motivated and organised Warehouse Administrator to join our Zaragoza team. The successful candidate will be responsible for managing daily administrative tasks within the warehouse, supporting the local warehouse team and its manager, and contributing to the continuous improvement of daily operational tasks.
Responsibilities
Assist in daily operations, including logistics, asset management and service to ensure efficiency and effectiveness. Support and collaborate with the warehouse manager to plan, execute, and follow up on daily tasks.
Tasks
General administrative tasks:
- Create purchase orders (POs) and communicate with suppliers, ensuring proper follow-up.
- Prepare ad-hoc documents as required.
- Liaise with multiple internal departments (Stock, Service Team, Sales, Procurement, Legal, etc.)
Transport:
- Oversee daily transport planning and ensure timely execution.
- Liaise with transport companies and coordinate related activities.
- Prepare customs documentation.
Spare parts & service
- Work with the workshop team to identify required spare parts.
- Place and follow up on orders with suppliers.
- Support the Service Team in researching and/or communicating with local technical assistance centres.
Stock:
- Review and act on Power BI dashboards (tiles) on a daily basis.
- Support periodic stock takes.
- Follow up with Sales on contract extensions and escalate to the Stock team when necessary.
- Review daily stock movements and ensure accurate system updates.
- Escalate stock issues to the Stock team where appropriate.
QualificationsSkills
- 1+ years of administrative experience (ideally in a warehouse environment)
- Excellent administrative skills and strong attention to detail
- Strong communication skills
- Excellent organisation and coordination skills, with the ability to manage multiple priorities at once
- Positive, can-do attitude
- Basic level of English is essential.
- Basic Excel and Word skills required; Power BI knowledge is a plus.
Desirable
- Previous experience in warehouse/logistics environment
