**VP Assistant**
We are looking for an experienced VP Assistant to support the Vice President Customer Service Operations Europe, Middle East & Africa to create an optimised organization and business agenda including all related activities in the department.
You will provide administrative support and manage multiple activities and projects involved in operations.
You will be working with Managers at all levels in multiple geographies. You will provide correct functioning of facilities through continuous inspection and maintenance to appropriate standards.
This is a full time permanent position based in Arganda Del Rey, Spain.
That position is not open to career migration.
**What You Will Do**
As VP Assistant you will:
- Perform complex diary management - arranging internal and external meetings
- Plan and organise management meetings
- Attend meetings when asked to do so, taking and circulating minutes, and following up on action points
- Perform general office support to the department (including Microsoft Office knowledge)
- Communicate with a wide range of internal and external contacts, including senior executives within the Tetra Pak organization
- Provide support in internal announcements
- Responding to and re-directing incoming enquiries as appropriate
- Support in preparing PowerPoint presentations and reports
- Alert the Vice President and his team to upcoming deadlines and ongoing commitments, preparing materials and researching background information as needed
**Who You Are**
We believe that you have:
- Technical education or higher education
- Min. 5 years relevant experience, preferably with experience as an Executive Assistant reporting to a top-level Management
- Excellent written and verbal communications skills in English, including spelling and grammar. French language is an advantage.
- Excellent organizational, interpersonal/communication skill
- Demonstrated ability to handle and prioritize multiple tasks
- Demonstrated ability to work effectively in a demanding and fast developing environment
- Demonstrated ability to accurately prepare materials and arrangements prior to agreed deadlines
- Strong attention to detail and follow-up
- Proficiency in MS Office (Outlook, Word, Excel, and PowerPoint)
- Experienced using Virtual collaboration tools (Microsoft Teams, Webex, Jabber)
- User knowledge in SAP is an advantage
- Ability to stay calm, focused and motivated under pressure
- Demonstrated ability to respond confidently, courteously, diplomatically and professionally to incoming requests from internal and external contacts at all levels
- Dynamic, agile, flexible, independent
- Ability to maintain strict confidentiality and discretion
