We are on an exciting journey to tell the world the importance of Women’s Health. The Consumer Business Unit will launch a New Category in Breast Aesthetics & we are looking for a Admin support to be part of this exciting movement.
In this role, you will support on coordinating the Consumer Marketing Team on their principal functions and administrative tasks.
You will oversee the entire process of the team travels, expense reports, purchase orders, onboarding process and meeting rooms (internal and external). You will also support on organizing the Marketing Director agenda and minutes.
**Necessary Duties and Responsibilities include the following**:
- Perform daily administrative tasks to ensure functionality and coordination of departmental activities.
- Help to organize promotional events or digital campaigns to facilitate their success.
- Onboarding assistance for new team joiners.
- Coordinate and supervise purchase orders, invoicing, and intercompany approval forms.
- Help the team managing business trips.
- Organize and supervise the Marketing Director agenda and minutes.
- Ensure along with IT that your team equipment is in good working condition.
- Organize meetings rooms (bookings, verify equipment, attendees )
**Role & Relationships**:
- Reports to Marketing Director.
- Works closely with all other departments of the company.
- Works closely with external providers/suppliers.
**Job Specifications**:
- A dynamic, structured, and persistent approach to work.
- Outstanding organizational skills, attention to detail and exceptional accuracy.
- Minimum 2 - 4 years of experience in a similar role.
- Capacity to work to tight deadlines in fast paced environment.
- Ability to work effectively in a global virtual environment, with strong service orientation, customer focus and excellent interpersonal and teaming skills.
- Problem solving mentality and proactively addresses work-related problems.
- Ability to perform multiple tasks due to priorities and opportunities that are constantly changing.
- Strong verbal, written and listening communications skills in Spanish and English.
- Strong ability to follow up and execute.
- Ambition to grow and develop within an exciting and everchanging Marketing environment.
- Minimum training/certificate in Business Administration or similar.
- Experience in position as a management assistant, administrative assistant, or similar role.
- Computer skills is a must, knowledge of commercial software package (Windows or similar).
