**ANT Event IBERIA** a company specializing in event organization, particularly for medical and scientific congresses. We offer services worldwide, managing events of various sizes locally and internationally. We developed strong professional ties with key leaders in the medical field, especially in Neurology.

As a core PCO, the ANT multilingual team (Italian, Spanish, English, French, Arabic) is also **organizing and managing the secretariat and administrative tasks for Scientific Societies.**

**About ERN EpiCARE**

Funded by the European Commission, it is one of 24 European Reference Networks created in 2017 to improve care for patients with rare and complex diseases.

Since September 2023, the administrative coordination of the network has been led by **Hospital Sant Joan de Déu (HSJD)**, Barcelona, Spain, under the direction of Professor Dr. Alexis Arzimanoglou, EpiCARE’s coordinator since 2019.
- Developing and promoting best practices in epilepsy care, in partnership with scientific societies and patient organizations.
- Providing training, education, guidelines, and clinical tools.
- Facilitating remote multidisciplinary consultations across the EU.
- Supporting research, including clinical trials and data-driven initiatives.
- Contributing to EU-wide policies and ensuring equitable access to care.

The network is supported by a team of 6 Project Managers based in Austria, Belgium, France, Spain, and the UK, covering administration, communication, public health, research, data management, and education.

**EPICARE turned to ANT to provide human resources in order to support its activities and ensure effective coordination among the members of the ERN EPICARE network.**

Position description “ADMINISTRATIVE ASSITANT”

**SALARY -WORKING HOURS AND CONTRACT**:

- On-site, Barcelona, Spain.
- Part-time with the possibility to evolve to a FTP in 12-18months.

Monday to Friday from 9:00 to 13:30 PM (totaling 22 hours and 30 minutes per week).
- Contract: Permanent position following a 3 months trial period
- Starting date: Monday September 15th, 2025.

**Salary**: For a part-time position (22 hours and 30 minutes per week): €14,000 to €17,000 gross annually, depending on experience.

**PROJECT**: Provide advanced administrative support to the coordination and management team of the ERN EpiCARE.

**RESPONSIBILITIES**:

- Management of agenda, tasks, and correspondence.
- Support the internal organization and agendas of the Project Managers and Coordinator team.
- Internal/external telephone support.
- Dissemination and follow-up of internal communications, meetings, calls, deadlines, etc.
- Preparation and supervision of programs, convocations, and corporate communications.
- Data analysis (surveys) and preparation of activity, quality, and expenditure information.
- Organization and planning of meetings (inviting, sending agendas, preparing minutes, etc.); on site reception of participants at face to face meetings held in Europe; Follow-up.
- Support in expenses management and follow-up.
- Support in preparing institutional presentations and reports to the European Commission.

**WE VALUE**:

- Experience in similar administrative tasks.
- Good communication skills (written and oral).
- Excellent level of knowledge of at least 2 EU spoken languages.
- Proactive and flexible attitudes.
- A dynamic person with initiative.

**THE PROFILE WE ARE LOOKING FOR**:

- Proficiency in English, both spoken and written (all documents and calls are in English)
- Conversational use of 2 other EU languages will be appreciated
- Advanced knowledge and experience in office software (Word, Excel, and PowerPoint).
- Advanced knowledge and experience in survey and teleconference tools and platforms
- Possession of a vocational training degree in administration (FP II), higher-level degree (administrative branch), or Higher Technician in Health Documentation and Administration.
- Experience in preparing reports, charts, and data analysis.
- Minimum of two years of experience in administrative tasks.
- A person who is organized, methodical, with initiative, and collaborative within the team.
- Having competencies related to our institutional values.
