**Position Overview**
Under the supervision of the Finance Manager, the bookkeeper and bus service coordinator is responsible for complete control expenses by receiving, processing, verifying, and reconciling invoices. They record transactions, compile and analyse data, assist with budgets, financial forecasting and audits. In addition, this person must coordinate the transportation needs of kindergarten, elementary, middle, and high school students safely, efficiently, and economically.
In addition, this position must provide information to the Finance Manager by researching and analysing accounting data and preparing reports.
**Key Responsibilities**
Bookkeeper
- Prepare asset, liability, and capital account entries by compiling and analysing account information.
- Document financial transactions by entering account information.
- Recommends financial actions by analysing accounting options.
- Maintain vendor files.
- Review and verify invoices and check requests.
- Sort, code and match invoices.
- Enter and upload invoices into the system.
- Post transactions to journals, ledgers and other records detailing financial business transactions and maintain them.
- Correspond with vendors and respond to inquiries.
- Summarise current financial status by collecting information.
- Assist Finance Manager in preparing the balance sheet, profit and loss statement, and other reports.
- Maintain accounting controls by preparing and recommending policies and procedures.
- Reconcile financial discrepancies by collecting and analysing account information.
- Follow-up accounting internal procedures.
- Comply with accounting Spanish policy and regulations.
- Prepare special financial reports by collecting, analysing, and summarising account information and trends according to Finance Manager requests.
- Control inventory variances in cooperation with the purchasing department.
- Assisting in the improvement in internal controls related to inventory and purchasing department.
- Actively participate in tech developments to improve operational efficiency.
- Maintain customer confidence and protect operations by keeping financial information confidential.
- Provide supporting documentation and assist with year-end audits.
- Perform other assigned tasks and duties necessary to support the Accounting function.
Bus Service Coordinator:
- Manage and coordinate regular bus service for students and staff.
- Ensure that ASB rules, policies and procedures are followed, along with regulations pertaining to the Transportation authorities.
- Coordinate the scheduling and routing of school buses with the bus company.
- Review bus routes and recommend changes to the bus company, if necessary.
- Guide bus monitors in safety procedures and best practices in loading and unloading students.
- Complete reports and keep records as required by ASB and local authorities.
- Create positive relationships with the bus company and parents of children who will use the transportation system.
- Serve as intermediary between the bus company and parents of children by providing a clear and efficient communication.
Other Responsibilities:
- If necessary, support the rest of the team to reach its annual goals
- Protects organisation’s values by keeping information confidential.
- Contributes to team effort by accomplishing accounting and organisation mission and completing related results as needed.
- Participate in team planning meetings.
**General Skills and Qualifications**:
Hard Skills
- Bachelor’s or Vocational Training (Licenciatura o Grado) in Business or Economics
- Advanced level of English and Spanish
- +3 years of experience in an administrative role
- Proven experience working with Microsoft Office and advanced excel skills
- Experience working with SAP and Google Suites is preferred
Soft Skills
- Ability to use and plan time at work effectively and productively.
- Maintain confidentiality of sensitive information.
- Explain and execute policies, rules and regulations.
- Work independently in the absence of supervision.
- Communicate clearly both orally and in writing. Ability to effectively communicate and interact with persons of diverse backgrounds and abilities.

**Conditions and Benefits**
- Full time schedule Monday through Friday, 9:00 - 17:30; intensive schedule in the Summer 9:00 - 15:00
