Transport Load Zone Coordinator

ContractThe Load Zone Coordinator will be supporting the transportation team with the onsite delivery of transportation operations during the event.This is a contract role from the 3rd to the 23rd of February in 2026. We are only able to consider candidates who live or have accommodation in Milan.Key ResponsibilitiesAssist senior management with all onsite vehicle movementsLiaise with transport team to ensure all vehicles are received and dispatched in a safe and timely manner at all relevant venues (airports, stations, hotels, venues)Ensure the overall management of an effective loading, unloading and dispatch system to ensure optimal on-time performance and guest comfort where client transport operations take place such as hotels, competitions venues and restaurantThe Coordinator will work physically on-site at these load zones, ensuring that the area is ready and available for vehicle arrivals, including informing the Transport Manager, giving instructions to drivers, preparing for departures, preparing drivers for next assignments etc.Oversee vehicle movements within Load Zone for program efficiency and guest experienceWhere possible, ensure Load Zone areas are secure (traffic cones etc.)Develop a clear understanding of the daily program schedule and contentMaintain an awareness of which vehicles is allocated to which group/guestPrep vehicles for leisure and events - DVD's music, water etc.Assist in establishing a friendly and professional working rapport with the transport team, drivers and suppliersUnderstand procedures for all possible circumstances including accidents or medical emergencies, breakdown procedures, road or traffic conditions, schedule or venue changesUnderstand all security procedures and collaborate with client security team to implement all necessary transport safeguardsLiaise with senior management in case of special transport requestsOther operational duties as requiredSkills, Knowledge, ExpertiseFluency in Italian and English is requiredPrevious experience in a load zone environment ideally within events delivered in MilanA demonstrable understanding of transport logisticsTeam and driver management experienceExcellent IT skills, Excel, Word, Power Point - confident using different platforms and devicesStrong communication skills, both written and verbalAttributesHigh energy, comfortable working potentially long hours in a demanding but rewarding and friendly environmentWilling to roll sleeves up and get involvedPassionate about sport, hospitality and deliveryAble to work in a calm, kind and professional manner in a pressured environmentAbility to prioritise a demanding workload #J-18808-Ljbffr
