At Welltech, we are continually enhancing our HR Operations function to strengthen our partnership with the business, Talent Acquisition, and the broader HR teams. We also collaborate closely with various administrative teams to streamline our HR processes and deliver exceptional HR services. As we expand, we are looking for a dedicated HR Operations Specialist to join our dynamic HR Operations team, which spans multiple locations.
About the Role :As an HR Operations Specialist, you will play a pivotal role in maintaining HR data, employee records, and overseeing HR administration activities (payroll inputs, benefits administration, etc.). This role involves interaction with colleagues and managers from diverse backgrounds across multiple countries, making it a truly global and collaborative opportunity. While onboarding is not the primary focus, you may be involved in pre-boarding activities.
Key Responsibilities :- HRIS administration: Maintain accurate and up-to-date HR data within our HR system, ensuring data integrity, consistency, and confidentiality. Process requests for changes, coordinate with the local HR Operations team, ensure understanding of data categories, and control user presets in the HRIS.
- HR Administration: Oversee HR tasks from hire to separation, including drafting and organizing employment agreements and other HR paperwork for various locations. Keep the library of template documents up-to-date and implement measures to automate processes.
- Payroll administration: Prepare monthly inputs for payroll calculations, including changes to base pay, variables, and absence management, for local and outsourced payroll providers.
- Benefits administration: Administer benefits in kind and monetary reimbursements across multiple locations.
- Operational onboarding: Conduct onboarding meetings, explaining basic HR operational matters like payroll calendar, absence policies, and pension participation.
- HR Support and Advisory: Provide support and advice on hiring, separation, benefits, local regulations, payroll, and absence policies, ensuring proper procedures and documentation.
- Policies and procedures: Develop, update, and maintain HR Operations policies and procedures, collaborating with Legal for risk mitigation and compliance.
- Confluence Space Management: Design and manage the HR operations Confluence space, ensuring policies are current and accessible.
- External audits: Manage labor authority inspections and HR audits.
- Collaboration and growth: Work collaboratively with colleagues, fostering a supportive environment for growth and development.
To succeed, you should have:
- At least 4 years of experience in HR operations or related fields.
- Experience managing HR across 4+ countries is a plus.
- Proficiency in HR systems and data management.
- Strong command of English and Spanish.
- Willingness to learn designing and managing Confluence spaces.
- Proficiency with Slack, Google Docs, Excel, and task management tools.
- Excellent organizational skills, attention to detail, and logical thinking.
- Effective communication skills for global collaboration.
- Proactive approach to process improvement and automation.
