Headquartered in Cleveland, Ohio, Lincoln Electric is a $4.2B publicly traded company (NASDAQ:LECO) with over 12,000 employees around the world, with operations in 71 manufacturing and automation system integration locations across 21 countries and maintains a worldwide network of distributors and sales offices serving customers in over 160 countries.Job ResponsibilitiesMission: Enable senior leadership to operate efficiently by providing proactive, high‑level administrative support while ensuring smooth office operations, resource management, and a welcoming environment for employees and visitors.Executive Calendar Management: Proactively manage and prioritize complex calendars for Vice Presidents, including scheduling meetings across multiple time zones and resolving conflicts.Travel & Logistics Coordination: Plan and organize domestic and international travel itineraries, including flights, accommodations, ground transportation, and visa arrangements.Expense Management: Prepare, review, and reconcile expense reports for senior leadership, ensuring compliance with company policies and timely submission.Meeting & Event Coordination: Organize high‑level meetings, leadership off‑sites, and internal events, including agenda preparation, materials distribution, and follow‑up actions.Confidential Document Handling: Draft, proofread, and manage sensitive documents and presentations with a high degree of confidentiality and accuracy.Stakeholder Liaison: Act as a point of contact between senior leadership and internal/external stakeholders, ensuring effective communication and timely responses.Office Operations Oversight: Manage front desk activities, office supplies, and ensure a welcoming environment for employees and visitors.Access & Compliance Management: Handle access control, time & attendance systems, badge management, and compliance checks.Vendor & Contract Oversight: Coordinate HR and administrative vendors, ensuring service quality and timely issue resolution.Fleet & Facility Management: Administer company fleet documentation, maintenance scheduling, and related administrative tasks.Process Improvement: Identify opportunities to streamline administrative and office processes and implement best practices for efficiency.Job RequirementsProven Experience: Minimum 5 years in executive assistant or senior administrative roles supporting C‑level or VP‑level executives, with office management responsibilities.Technical Skills: Advanced proficiency in MS Office Suite (Excel, PowerPoint, Outlook) and familiarity with expense and travel management systems (e.g., Concur, SAP).Languages: Fluent in Spanish and English; additional languages are a plus.Soft Skills: Exceptional organizational skills, discretion, and ability to handle confidential information.Strong interpersonal and communication abilities.Problem‑Solving: Ability to anticipate needs, manage priorities under pressure, and work independently in a fast‑paced environment.Lincoln Electric is an Equal Opportunity Employer.
