About the Role:This position involves supporting the Senior Financial Director (SFD) in various aspects, including administrative tasks, project coordination, and financial operations. The ideal candidate will be highly organized, proactive, and able to manage competing priorities in a dynamic work environment.
Key Responsibilities:- Manage and maintain the SFD's calendar, scheduling meetings, appointments, lunches, dinners, political events, and travel arrangements.
- Act as the main point of contact for internal and external communications with the SFD, which may include law firms, accounting firms, government entities, financial institutions, banks, and internal departments like the Office of the CEO, Human Resources, Recruiting, and Customer Service.
- Coordinate logistics for travel, meetings, and events, ensuring all details are handled promptly and professionally along with specific daily agendas to review.
- Act with good judgment to determine priorities and access to the SFD's schedule and priorities and create and maintain daily To Do Lists.
- The SFD is fluent in both English and Spanish and converses and writes in both languages as a function of the counterparty with whom he communicates and the Executive Assistant must be as well. The main language of corporate internal communication is English and external communication is both English and Spanish.
- Assist with the onboarding process for new hires, including preparation of HR contracts and documentation.
- Support the relocation process for new or existing employees, coordinating housing, transportation, and other logistics as needed.
- Handle confidential employee information with the utmost discretion and professionalism.
- Help prepare financial reports, presentations, and key documents for meetings, including gathering and organizing relevant data.
- Track and manage financial documents, including invoices, receipts, and expense reports, ensuring they are processed and filed appropriately.
- Assist with financial planning, forecasting, and budget preparation as needed.
- CRM Management.
- Offer assistance at Board Meetings and Executive Sessions, preparing minutes, acting as liaison between committee members and staff.
- Provide support for strategic initiatives and special projects, assisting with research, data collection, and document preparation.
- Help manage deadlines, track progress, and coordinate tasks across departments as required.
- Lead the scheduling and preparing of corporate events.
- Serve as the point of contact between the SFD and internal / external stakeholders, ensuring smooth communication and follow-up on key action items.
- Draft and proofread emails, memos, and other correspondence on behalf of the SFD.
- Handle ad-hoc requests, from organizing meetings with high-level executives to assisting with personal errands as needed.
- Ensure all tasks are completed in a timely, efficient manner, maintaining high standards of quality.
- Education: Bachelor's degree in administration, psychology, business, finance, or a related field (preferred).
- Experience: Minimum of 3 years' experience as an executive assistant, preferably in a financial or corporate environment working with C-Level Executives.
- Skills: Bilingual in English and Spanish both spoken and written.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Google Workspace, and familiarity with financial software.
- Strong organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Excellent written and verbal communication skills, with attention to detail.
- Ability to handle confidential information with discretion.
- Strong problem-solving and critical-thinking abilities.
- Ability to accompany and/or shadow the SFD when necessary and in particular preparing the SFD with names, profiles and backgrounds of each person he is meeting or will possibly meet.
- Highly motivated, self-starter with a proactive attitude and the ability to anticipate the needs of the SFD.
