Job Summary

New York University is seeking a highly skilled and experienced professional to serve as the Associate Director, NYU Madrid. This is a full-time position that will report to the Site Director and will be responsible for overseeing the day-to-day operations of the NYU Madrid campus.

Key Responsibilities
  • General Operations
    • Supervise all day-to-day operations of the NYU Madrid campus to ensure a secure, inclusive, and enriching environment for the campus community.
    • Take responsibility for legal issues affecting the campus, including contract approvals and monitoring.
    • Oversee IT policy and other forms of communication.
    • Coordinate with outsourced providers, including guards, property security, IT, and cleaning services.
    • Coordinate with NYU's Insurance Office to ensure appropriate assessments and insurance coverage.
    • Maintain relations with local authorities and professionals.
    • Represent NYU Madrid management in negotiations with Trade Union representatives.
    • Assume responsibility as Privacy Officer for NYU Madrid operations.
  • Finance
    • Prepare and submit annual budget proposals, variance reports, and other financial reporting.
    • Monitor financial performance and implement cost control measures.
    • Manage financial operations, including accounts management, payroll, payments, auditing, and local liabilities.
    • Liaise with auditors and colleagues in New York to ensure timely and accurate submission of reports.
  • Strategic Management
    • Support and collaborate with the Site Director and colleagues to plan, create, review, and implement policies, procedures, and short- and long-term strategic planning.
    • Evaluate enrollment trends and identify needed resources.
    • Substitute for the Site Director on relevant business matters.
  • Human Resources
    • Collaborate with Global HR Business Partner, HR Manager, and leadership in New York on HR processes, procedures, and management.
    • Ensure employee documentation is maintained and compliant with Spanish legislation.
    • Maintain the NYU Madrid Staff Handbook.
    • Implement the NYU annual performance appraisal system.
    • Supervise the Time Management and onboarding system.
    • Approve staff recruitment and issue employment contracts.
    • Supervise the provision of employee benefits.
  • Facilities and Space Planning
    • Provide oversight in all respects, including facilities management, staffing, wellness, and security.
    • Act as local liaison with NYU's landlords.
    • Develop and maintain a space planning strategy.
    • Supervise the Facilities Manager.
    • Oversee the facility maintenance program.
    • Institute a program of sustainability.
  • Student Life and Academic Operations
    • Support coordination with portal campuses and New York departments.
    • Develop and host curricular and co-curricular activities.
    • Serve as a resource to the Site Director on student life and academic planning.
Requirements
  • Bachelor's degree in a relevant field.
  • 10+ years of experience.
