Job Summary
The role of Financial Transaction Coordinator at Icon Strategic Solutions involves providing a confidential, proactive, and highly professional personal service to contribute to operational procurement activities. This includes carrying out sourcing and supplier management activities, coordinating Purchase To Pay (P2P) activities between the Procurement Teams and the Accounts Payable or Purchase To Pay Department.
A key element of this role is developing internal and external relationships with suppliers and cross-functional teams to support reviewing supplier samples and/or demonstrations with the buying organisation management and user departments.
This role will report into the Director, Portfolio, Resource and Capacity Management, and is soft line managed by the Associate Director Transactions business process Improvements.
The primary responsibility will be processing purchasing requests on OPEX and CAPEX, invoicing management, financial data management, accrual sheets, and any other relevant financial operations tasks.
Main Responsibilities:
  • Serve as the first line of contact for Global Clinical Pharmacology Safety Sciences (CPSS) employees and partners.
  • Triage of centralised purchasing mailbox for accurate and prompt generation of POs.
  • Raise purchase requisitions and amend existing purchase orders on behalf of R&D study leaders and CPSS employees.
  • Provide support and develop expertise in finance systems: Coupa - Become a Subject Matter Expert (SME) in the system.
  • Develop good relationships with customers and partners - checking status of Purchase Requisitions (PR) and providing regular updates to customers to ensure there are no delays in purchase orders being generated.
  • Investigate PO issues on customer's behalf.
  • Invoice resolution - Solve tickets and web requisition issues, as well as serving as a point of contact for outside vendors.
  • Proactively decrease the number of invoices on hold (IOHs), ensuring a robust procure-to-pay process.
  • Create and maintain accurate data records in CPSS in a timely manner.
  • Promote compliance with established Sponsor's finance policy, standards, and processes.
  • Set up new supplier accounts in Coupa.
  • Process e-pay requests.
  • Work with our Central Support Office to submit Cyber grants on behalf of CPSS.
