Job Summary
As a Travel Assistant with the Embassy Madrid Travel & Visitor Bureau, you will play a pivotal role in providing expert travel planning assistance and services to visiting United States Government officials. This includes arranging travel and accommodations, managing the E2 Solutions program, and providing visitor support assistance. You will also be responsible for guiding the Mission on travel-related issues and creating travel authorizations in e2 Solutions. Additionally, you will negotiate government rates with hotels and maintain relationships with local hotels to support VIP and TDY visitors. Your duties will also include drafting travel-related Mission staff announcements and reconciling monthly centrally-billed travel card invoices.
Key Responsibilities
• Coordinate and facilitate importation and exportation of household and personal effects, privately owned vehicles, unaccompanied baggage, and U.S. Government equipment and supplies for the Department of State and other agencies.
• Control the Mission Spain's gasoline duty-free purchase program.
• Draft polished formal communications and reports in English and Spanish.
• Develop and maintain good relationships with local hotels to facilitate support for VIP and TDY visitors.
• Reconcile monthly centrally-billed travel card invoices.
• Manage the E2 Solutions program for travel as a Super Arranger.
Requirements
• Completion of secondary school.
• Minimum of three years of progressively responsible experience in the travel field and/or experience in the field of customs and shipping.
• Fluent level of English speaking/reading/writing.
• Fluent level of Spanish speaking/reading/writing.
• Ability to deal with high-level U.S. and local government contacts.
