Key Responsibilities

The Sales & Order Operations Specialist at Ansys plays a vital role in managing the end-to-end process for renewal and new sales. This involves performing duties for department managers, partnering with account managers to support sales cycles and business objectives, and acting as the primary point of contact for internal and external customers. Strong knowledge and accurate execution of company policies and procedures are essential in this role.

Core Duties

  • New Employee Onboarding Program: Participate in the New Employee Onboarding program, which includes meeting with various members of the Sales & Order Operations team and other internal departments to train on procedures and policies. Track progress with Supervisor or Manager, actively ask questions, and develop scalable and repeatable processes for success.
  • Sales Cycle and Related Workflow Responsibilities: Coordinate with the Sales Team and customers to prepare quotation proposals, legal forms, and licensing requests. Review quotations for completeness and accuracy, adhering to company policy for new and renewal sales efforts. Partner with assigned Account Managers to prepare, review, process, and expedite sales orders and related workflow and services.
  • Customer Support: Act as the primary point of contact for ANSYS customer needs, responding to questions on order status, account issues, license configuration, and other related matters for all new and renewal software orders.
  • Renewal Opportunities: Administer all renewal opportunities within the CRM, including revenue reconciliation activities, creating sales queries/reports to track opportunities, and following up with customers to maintain an accurate renewal forecast within the CRM.
  • Collaboration and Communication: Involve appropriate customers and internal groups (Account Managers, Sales Operations, Inside Sales, Finance, Legal, Business Operations) to ensure timely submission and processing of revenue. Research and understand historical accounts, product order history, discounting, and special pricing situations to assist with quote proposal generation as needed.
  • Process Auditing: Perform audits of own work to ensure conformance with established procedures. Analyze outgoing and incoming paperwork, such as purchase orders and license contracts, for compliance and accuracy. Determine and administer revenue and support splits, and ensure all internal approvals are secured.

Minimum Education/Certification Requirements and Experience

  • An associate's degree in business or accounting or a related field with a minimum of 18 months of experience in a sales operations, sales support, finance, or legal support role, or a customer service environment or similar position in a corporate setting.
  • Strong teamwork and customer service orientation.
  • Extended hours required at the end of the quarter.
  • Highly motivated and results-driven, with the ability to cope effectively with complexity and change.
  • Excellent verbal and written communication and interpersonal skills.
  • Ability to build strong relationships.
  • Demonstrates good judgment in problem-solving and issue escalation.
  • Ability to handle confidential information.
  • Working knowledge of CRM systems and knowledge of Quote to Cash scenarios, including quotation preparation.
  • Must be organized and detail-oriented.
  • Ability to multitask and prioritize in a fast-paced, deadline-driven environment.
  • Working knowledge of presentation and spreadsheet software, such as Microsoft PowerPoint and Excel.
