We are seeking a proactive and detail-oriented individual to join our Administration Team in Barcelona. As an Administrative Assistant, you will play a key role in supporting the team with various tasks, including event planning, visitor arrangements, and travel booking.

Key Responsibilities:

  • Support the development and coordination of scientific events and seminars
  • Organize internal social and scientific events, as well as institutional events, meetings, and visits
  • Manage visitor arrangements, including travel booking and meeting room reservations
  • Coordinate travel and hospitality reimbursement for staff
  • Register for conferences and courses
  • Organize seminars, including 50th Anniversary events and One-EMBL Seminars
  • Support unit meetings and calendar updates
  • Help with logistics for workshops and meetings
  • Support unit operations and administrative tasks
  • Develop process maps and workflows
  • Support onboarding of new staff
  • Task related to ERP/SAP

Requirements:

  • Proactive team player with a degree in Public/Business Administration/HR/Event management or a related field
  • Basic understanding of administration and office environment with great attention to detail
  • Commitment to providing exceptional customer service and working effectively with people of different cultural backgrounds
  • Good organizational skills, reliability, and ability to plan and prioritize work
  • Innovative and analytical with a flexible mindset, able to effectively communicate and collaborate cross-functionally
  • Fluency in written and spoken English
