Business Operations Coordinator

Job Summary
In this role, you will be an integral part of our team in Madrid, supporting GIB Bankers in their everyday tasks and interacting with various members of the firm. As a Business Assistant in the Global Investment Banking business, you will have the opportunity to contribute to our success and work in a diverse and dynamic environment.
Key Responsibilities
• Provide diary management, set up meetings and conference calls, both internally and externally.
• Arrange business travels, coordinating logistics for business trips and preparing itineraries, flights, hotels, ground transportation, and visas, following corporate policy.
• Assist visitors from outside J.P. Morgan Madrid organization and manage agendas, following up on internal and management meetings and dealing with multiple and/or urgent meeting conflicts.
• Manage expenses, process receipts through CONCUR system, and reconcile accounts monthly.
• Provide telephone support for the wider group, with a particular focus on senior coverage during the absence of peers.
• Administer general office tasks, including archiving, filing, and stationary orders.
• Support in raising systems, applications requests, and maintaining vacation schedules.
• Collaborate closely with other administrative assistants and team members, working in partnership to ensure cover is provided to the area at all times.
Required Qualifications, Capabilities, and Skills
• Proficient level of English.
• Technology savvy, with proficiency in Microsoft Office products, particularly Outlook, Excel, and PowerPoint.
• Excellent interpersonal and communications skills, both written and oral.
• Self-starter, extremely organized, and detail-oriented, with a strong commitment to accuracy.
• Absolute discretion when dealing with confidential matters.
• Proactive anticipation and thinking, looking ahead and ensuring all meetings are confirmed and correct.
• Keen team-player/partnership ethic, expecting to work as part of a strong administrative team.
