Job Summary

We are seeking a highly skilled and detail-oriented individual to join our team as an Administrative Coordinator. As a key member of our organization, you will play a vital role in ensuring the smooth operation of our administrative functions.

Key Responsibilities

  • Manage and process orders in a timely and accurate manner
  • Review and manage contracts data in our ERP system, ensuring compliance with company policies
  • Process data for new orders and order modifications, maintaining a high level of accuracy and attention to detail
  • Create billing invoices and credit notes, ensuring timely and accurate processing
  • Prepare and send indexation renewal letters to customers, maintaining a professional and courteous tone
  • Request guarantees for placed orders, ensuring timely and accurate processing
  • Complete commercial correspondence and support project managers with order-related matters, maintaining a high level of professionalism and attention to detail
  • Communicate verbally and in writing in Dutch and English, ensuring effective communication with internal and external customers
  • Be the first point of contact for contractual questions from customers, providing timely and accurate responses
  • Check contracts and approvals in our CRM tool, ensuring accuracy and attention to detail
  • Support and manage dispute resolution, maintaining a professional and courteous tone
  • Maintain the master data of our customers, ensuring accuracy and attention to detail
  • Communicate proactively with clients, ensuring timely and accurate responses
  • Run calculations for customer offers, maintaining a high level of accuracy and attention to detail

Requirements

  • Fluency in Dutch and English
  • Excellent verbal and written communication skills
  • Ability to effectively communicate with internal and external customers
  • Excellent proficiency with MS Office suite
  • Effective time management, in order to meet deadlines
  • A positive attitude and ability to provide excellent customer service
  • Ability to work independently and to carry out assignments to completion
  • A team player who enjoys working in a team environment
  • Minimum experience working in an administrative role, preferably within Finance or Legal

Preferred Qualifications

  • Previous experience in finance, customer service, order to cash, quote to cash, accounts receivable, billings, disputes, collections, contract administration, or legal-related work
  • High proficiency with MS Excel
