Job Description

As a Project Administration professional at Aeg Power Solutions, you will be responsible for overseeing the administrative aspects of our projects, ensuring seamless execution and financial management.

Main Responsibilities:
  • Manage project documentation, including creating and archiving necessary documents in the project folder.
  • Coordinate with customers to submit satisfaction surveys upon project closure, following Project Manager instructions.
  • Process timely invoices for project milestones, adhering to Project Manager guidelines.
  • Submit invoices to customers, including required documentation, in accordance with contractual agreements.
  • Request bonds from the finance department and manage them with customers.
  • Collaborate with the finance department to manage letters of credit with customers.
  • Confirm revenue recognition with the finance department, following internal recognition rules.
  • Oversee logistics from material availability to delivery, adhering to contractual agreements with customers and the warehouse.
  • Prepare shipment documentation and distribute it to internal and external stakeholders.
  • Contract forwarding companies for shipment of finished materials, following agreed Incoterms.
  • Maintain direct communication with freight forwarders, customs agents, customers, and suppliers.
  • Ensure adherence to policies and procedures, as required.
  • Provide support to the Project Manager throughout the project lifecycle.
  • Propose improvements to internal procedures and optimize departmental processes.
Qualifications and Requirements:
  • Graduate degree in Business Administration, International Trade, or related field (FPII).
  • Minimum 3 years of experience in a similar position, preferably in the industrial sector.
  • Ability to work in a team and international environments.
  • Good level of English (B2).
  • Advanced proficiency in Microsoft Office suite (Word, Excel, PowerPoint, etc.).
  • Ideal experience with SAP.
  • Resident in Vitoria or nearby areas.
