Every Preply lesson sparks change, fuels ambition, and drives progress that matters.Meet the teamAs Talent Acquisition Operations Specialist, you’ll play a pivotal role in empowering our Talent Acquisition (TA) team to hire smarter, faster, and better – helping us build the best TA function in the world.You’ll sit at the intersection of people, process, and technology: designing and improving workflows, championing tools and AI solutions that actually work (not just sound exciting), and ensuring the team has the insights and structure to deliver excellence at scale.This is ahands‑on yet highly proactive role . You’ll support recruiters with day‑to‑day operational needs – troubleshooting Ashby, answering process questions, and ensuring smooth delivery across our TA processes – while also stepping back to identify smarter, more automated ways of working.You’ll work closely with the Director of Talent Acquisition, the TA Leadership Team, and Finance to streamline workforce planning, optimise reporting, and ensure our hiring data drives better decisions. It’s a perfect role for someone who’s tech‑savvy, analytical, and energized by both solving daily problems and shaping long‑term systems that scale.What You’ll Be DoingOperational Support & Process ExcellenceAct as the go‑to person for recruiters, providing day‑to‑day operational support across tools, processes, and hiring workflows.Maintain and improve documentation, playbooks, and templates (including our CustomGPTs) to make our processes consistent, scalable, and easy to follow.Spot recurring challenges and proactively design smarter, automated solutions rather than one‑off fixes.Tooling, Systems & AutomationOwn and evolve Ashby and the broader TA tool stack, ensuring we use every feature effectively to save time and improve quality.Evaluate and pilot new technologies (including AI‑based solutions) with a focus on measurable impact and adoption.Partner with IT, Finance and People Operations to ensure seamless integration and reliable data flows across systems.Data, Reporting & InsightsBuild and maintain dashboards and reports that track hiring velocity, funnel health, recruiter capacity, and quality of hire.Lead monthly Leadership reporting and support regular company and People reviews with data‑driven insights.Use Excel/Google Sheets (advanced formulas, pivot tables, automation) and analytics tools like Looker to turn data into action, being proactive about spotting potential bottlenecks and helping drive solutions.Workforce Planning & Cross‑Functional CollaborationPartner closely with Finance, People Operations and TA LT to align on headcount plans, forecasting, and hiring pacing.Own the workforce planning process from a TA perspective – ensuring data accuracy, visibility, and proactive budget tracking.Prepare and lead monthly TA meetings and updates, surfacing key insights and improvement opportunities.Act as a thought partner to TA Leadership, helping shape how we continue evolving toward a world‑class, data‑driven TA function.What You Need To Succeed4+ years of experience in Talent Operations, Recruiting Enablement, People Analytics/HR Operations or Strategy Consulting.Proven experience optimising recruiting processes and introducing automation or tooling that improves efficiency and impact.Strong technical aptitude – confident working with Ashby or similar ATS, Excel/Google Sheets (advanced formulas, pivot tables, automation), and analytics tools like Looker.A proactive, curious problem‑solver who identifies opportunities and takes initiative to make things better.Ability to balance tactical execution (daily recruiter support) with strategic systems thinking (building scalable, automated solutions).Excellent project management, stakeholder management, and communication skills across all levels.Deep understanding of recruiting metrics, headcount planning, and operational workflows.Why you’ll love it at PreplyAn open, collaborative, dynamic and diverse culture.A generous monthly allowance for lessons on , Learning & Development budget and time off for your self‑development.A competitive financial package with equity, leave allowance and health insurance.Not in Barcelona?
